Webex Closed Captioning

There are two options available for closed captioning inside of Webex. One option is to have a participant type the captions directly in the Webex session, while the other option links an outside service provider into the Webex session.

Options

The Webex Assistant automatically generates captions during the session and displays them within the participant video window as well as in the right-hand menu below your Participant list and Chat.

The Webex Assistant begins automatically with each session you join. For information on disabling the auto-start, see Disable Webex Assistant Auto-Start. If auto-start is disabled, you are still able to start and stop the Assistant during the session.

Enabling the Captions Panel

  1. Start the meeting.

  2. Click on View → Panels → Manage Panels.

  3. Here you may add the Closed Captions panel.

Designating a Captionist

  1. Within the Participant Panel, find the Participant that you would like to act as Captionist.

  2. Right-click (on Mac, Ctrl + Click) on the Participant and select Change role to → Closed Captionist.

Entering Captions as the Captionist

  1. You will see the Closed Captions panel appear once the Host enables it by following the steps above. 

  2. Click on the panel and begin typing.

  3. Every time you hit the Enter key on your keyboard, what you have typed will be sent to the group. 

  4. Once you hit Enter, you cannot go back to edit what you have sent.

  5. You may save the transcript by clicking Save.

Here are instructions to embed the StreamText link into your Webex Multimedia Viewer in order to view real-time CART Captioning.

Enabling the Multimedia Viewer Panel

  1. Start/Join the Meeting.

  2. Click on View → Panels → Manage Panels.

  3. Here you may add the Multimedia Viewer panel.

Adding StreamText to the Panel

  1. Copy the StreamText link that you have received from Access Resource.

  2. Click on the Share menu at the top of the Webex window. Choose Share Multimedia.

  3. Paste the StreamText link into the URL field.

The Multimedia Viewer is now open and appears in the lower right-hand corner of your meeting/event page. When the CART captioner opens the StreamText link and begins captioning, text will appear in your Multimedia Viewer.

If you are using the polling option during a meeting or event, your poll may cause the Multimedia Viewer to be minimized. If this happens, each participant will need to click the minimized Multimedia Viewer to again view the CART Captioning window.

Steps for the Participant

Those viewing the captions can change the background color, font, font size, and font color to fit their needs. Once they have the appearance set the way they prefer, they should click Show/Hide Header in the lower right-hand corner of the Multimedia Viewer so that they can view the captions more clearly.
