Move Data from Outlook PST to Online Archive Mailbox
Beginning February 21, 2022, all Office 365 email-enabled user accounts will feature an Online Archive mailbox. Once the archive mailbox is enabled, users can move data from their Outlook personal data file to the online archive mailbox. Unlike PST files, data in the online archive mailbox is stored on Office 365 and not on your personal computer. This means your archived data is available online through your Office 365 account and is still accessible, even if your computer stops working.
Below are a few ways to move data from your PST folder to a folder in the Online archive mailbox:
Copying a Folder from PST to the Archive Mailbox
Select the folder that you would like to copy to the Archive mailbox.
Right-click on the folder and select Copy Folder.
If you would like the folder to be copied to the root of the Online archive mailbox, select the Online Archive option as shown below.
Click OK.
Outlook may be unresponsive during the copy depending on the content and size of the folder.
Move a Folder from PST to the Archive Mailbox
Select the folder that you would like to move to the Archive mailbox.
Right-click on the folder and select Move Folder.
If you would like the folder to be moved to the root of the Online archive mailbox, select the Online Archive option as shown below. If not, select the folder that you would like the source folder to be moved under.
Click OK.
Outlook may be unresponsive during the copy depending on the content and size of the folder.
Dragging and Dropping Contents from PST to the Archive Mailbox
Select the folder to show the items that you would like to move to the Archive mailbox.
Select all the emails in the folder by selecting one email and then Ctrl + A. This should select all emails in the folder.
Right-click on the selected emails, select Move, and then select Other Folder.
Select the Online Archive mailbox and drop down to the folder that you would like to move the contents to.
For bigger PSTs, send a support request to the Technology Support Center so that we can import the data from the PST into the Archive mailbox from the backend. Please note that this process can take up to a week to complete.
