Exclude Emails from Being Moved by the Retention Policy

Beginning February 21, 2022, all Office 365 email-enabled user accounts will feature an Online Archive mailbox. Once the archive mailbox is enabled, ITS will implement a retention policy that automatically moves emails older than 2 years to the corresponding folder in the Archive mailbox. This retention policy helps improve the general performance of the mailbox.

Please follow the instructions below if you do not want emails to be moved to the Archive mailbox automatically.

  1. Right-click on Inbox and select Properties.

  2. Click on the Policy tab

  3. Under Online Archive, select Never.

Please note that you have to perform the above steps on other folders such as Sent Items if you would like to exclude them from the retention policy. Subfolders inherit the setting on the parent folder.
