Using the Account Sponsorship Application

The Account Sponsorship Application allows permanent University employees to sponsor affiliate, NetIDWork, and NetIDAdmin accounts located at netid.uconn.edu. See the Sponsoring Accounts page for information regarding each account type.

If the accounts need shared calendar or mailbox access, please email techsupport@uconn.edu with the new NetIDwork account(s) and the access(es) needed. The Account Sponsorship Application provides the ability to manage these accounts, such as extending or expiring them.

Neither students, nor UCHC individuals or employees, have access to ASA. UCHC individuals must come through via one of the UCHC feeds if a NetID is needed.

Accessing the Account Sponsorship Application (ASA)

  1. Navigate and log in to netid.uconn.edu.

  2. Once you have logged in, click the link in the main navigation bar for Account Sponsorship. For added security, you are required to complete two-factor authentication before accessing the application.

  3. After successful 2FA, you will be on the homepage of the Account Sponsorship Application.

Viewing your Sponsored Accounts

From the Account Sponsorship Application's homepage, select the account type you are interested in viewing. You will be brought to a page with a table of the accounts you are currently sponsoring.

Account types

Sponsoring New Accounts

The primary purpose of the Account Sponsorship Application is to make it easier for University employees to create accounts for affiliates, student employees, and privileged access. The Account Sponsorship Application allows permanent employees to sponsor up to 10 affiliate, 10 student employee (NetIDWork), and 10 privileged access (NetIDAdmin) accounts at any given time. If you need to sponsor more than 10 accounts of a single type, you can request a limit increase from the ITS Technology Support Center.

To create accounts, start at the Account Sponsorship Application's homepage and select the account type you wish to create. You will be brought to a page with a table of the accounts you are currently sponsoring. On top of the table, there is a blue New button. Click this button to be brought to a form where you can provide the required information to sponsor an account. Each account type requires a different set of information, so use the instructions on the page to complete the form. If you have a large number of accounts that you need to create, you can request access to a bulk upload utility via the ITS Technology Support Center.

Editing Existing Accounts

Affiliate and NetIDWork accounts have fields that can be edited after their original creation. The Account Sponsorship Application allows you to make changes to these fields for accounts you sponsor.

To make a change to one of these fields, start from the Account Sponsorship Application's homepage. Select the account type you wish to edit. You will be brought to a page with a table of the accounts you are currently sponsoring. The far-right column contains a link to edit each account. Click Edit, and you can make modifications to your accounts on the following page.

Managing Existing Accounts

Each account in the Account Sponsorship Application has a lifecycle that is managed by the sponsor. The Account Sponsorship Application allows for sponsors to extend, transfer, and expire their sponsored accounts at any time. All account management activities must be done from the page where the accounts are listed. To view your sponsored accounts, begin at the Account Sponsorship Application homepage. Select the account type you wish to create, and you will be brought to a page with a list of all of your sponsored accounts of that type and the options to manage them.

Extending Accounts

The Account Sponsorship Application allows for accounts to be sponsored for up to a maximum of 12 months at a time. If an account is needed for a longer duration of time, the account must be extended in the Account Sponsorship Application.

To extend accounts, start on the page that lists the account you are attempting to extend. Using the checkboxes in the leftmost column of the table, select the accounts you wish to make changes to. Once your accounts are selected and the rows are highlighted, click the green Extend button at the top of the table. A dialog will appear with the number of months you wish to extend the account for. Select the new account life duration and click Confirm.

Transferring Accounts

The Account Sponsorship Application allows for the sponsorship of an account to be transferred to other eligible employees. If you are currently sponsoring an account but are moving to a role where you are no longer responsible for the person, you may transfer the account to another individual. The recipient of the account must approve the transfer before the process is complete. They will be notified by email that they have an account pending transfer to them.

To transfer accounts, start on the page that lists the accounts you wish to transfer. Using the checkboxes in the leftmost column of the table, select the accounts you wish to make changes to. Once your accounts are selected and the rows are highlighted, click the orange Transfer button at the top of the table. A dialog will appear where you can enter the NetID of the person that will be receiving the accounts. Enter their NetID, and click Confirm. You will be notified when they accept your transfer.

Expiring Accounts

The Account Sponsorship Application allows for accounts to be expired at any time. If an account is no longer needed, you can use the Account Sponsorship Application to delete the account. Due to slight differences in the way affiliate accounts are created, the expiration of affiliate accounts does not take effect until the following day. NetIDWork and NetIDAdmin accounts are disabled immediately.

To expire accounts, start on the page that lists the accounts you wish to expire. Using the checkboxes in the leftmost column of the table, select the accounts you wish to make changes to. Once your accounts are selected and the rows are highlighted, click the red Expire button at the top of the table. A dialog will appear that asks to confirm your action. Click Confirm to expire the accounts.

Accepting Transferred Accounts

If someone has transferred sponsorship of an account to you via the Account Sponsorship Application, you will be notified by email and see a new banner on the homepage of the Account Sponsorship Application. To accept or deny the transfer, log in to the Account Sponsorship Application and go to the homepage. You will see a new option at the top notifying you that you have accounts pending transfer. Select this option and proceed to the next page that lists the transferred accounts. Use the checkboxes in the leftmost column of the table to select accounts and accept or deny them using the buttons on top of the table. If you accept the accounts, the transfer is complete and you will now see them in the regular Account Sponsorship Application pages. If you deny the transfer, they will be sent back to the previous sponsor.

Assigning a Delegate to Manage Your Accounts

The Account Sponsorship allows you to assign an individual as your delegate. A delegate is given full control to act on your behalf in the Account Sponsorship Application. They are able to sponsor new accounts and modify existing accounts. By selecting someone as your delegate, you are giving them the ability to manage your accounts.

To assign a delegate, log in to the Account Sponsorship Application and go to the homepage. Select Preferences and Information and proceed to the page. Enter the NetID of the delegate you wish to designate and click Confirm.

Importing Existing NetIDWork Accounts

If you have students with existing NetIDWork accounts and would like them added to your Account Sponsorship App, contact the ITS Technical Support Center with a list of the accounts you wish to have imported, as well as sponsor information for the accounts. ITS will migrate the accounts into the Account Sponsorship Application for you. ITS will contact account owners and known sponsors to have these accounts imported.

Importing Existing NetIDAdmin Accounts

If you already have a NetIDAdmin account, you will see a banner notifying you that you possess an Untracked NetIDAdmin Account after accessing the Account Sponsorship Application. You can click on that link and fill out the form to have your account imported. You need to provide a sponsor of the account, which usually is your direct supervisor. Once complete, reset your NetIDAdmin password. The banner will go away, and your sponsor can now manage your account. Imported NetIDAdmin accounts must be renewed by the sponsor within 6 months of import. ITS will also contact current NetIDAdmin account owners to import their accounts.
