Deactivation of NetIDs when you Leave UConn

This article covers when faculty and staff NetIDs are deactivated once they leave UConn.

Terms to know

  • NetID: the unique identifier for each university affiliate which is formatted abc12345. The NetID is used to access many services through Single Sign On.

  • Microsoft 365: the service on which employee (faculty, staff, professional staff, special payroll, etc.) and student email and file storage is hosted. File storage includes OneDrive and SharePoint. Microsoft 365 also encompasses access to applications in the 365 suite such as Word, Excel, and PowerPoint. The deletion of a Microsoft 365 account also includes the data stored on the user’s OneDrive and Outlook mailbox.

Faculty, Staff, Professional Staff and Special Payroll

Employees have a 30-day grace period. When an employee leaves UConn, they will lose their active affiliation. When this happens, their Microsoft 365 account will be deleted 30-days after the employee’s end date. For example, if the end date is 6/30/22, the NetID and Microsoft 365 account will expire on 7/30/22. 

Students

Students have a 60-day grace period to remove their data. When a student leaves UConn for any reason, they will lose their active affiliation. Once this occurs, their Microsoft 365 account (email and OneDrive) will be deleted 60-days after their leave date issued by Student Admin and the Registrars office.

Adjunct Faculty

Adjunct faculty receive a 365-day grace period. This is because most adjunct instructors teach only in the Fall or only in the Spring. This allows them to retain access in-between those periods of time.

All users will begin receiving the daily 'Email Account Deletion Notifications' 30/60-days prior to deletion. This is the best indicator that an account is scheduled for deactivation/deletion.

Emeritus Faculty

Faculty who meet the criteria and are awarded emeritus status by the Board of Trustees will retain an active email for as long as they remain emeritus. Information about the emeritus process is available here: https://provost.uconn.edu/faculty-and-staff-resources/emeritus-status/
