Share 365 data with UConn Affiliation Groups
These groups are automatically populated each morning based on affiliation with the University. Use these groups to grant a UConn populations access to a SharePoint site, folder, or file.
Requirements:
Administrator Access to your SharePoint Site (Owner)
The name of the affiliation group you’re looking to grant access to
Visit the bottom of this guide to see a complete list of usable Affiliation groups
Affiliation Group Examples
Undergraduate Students (excluding UCHC)
Undergraduate Students (including dual-enroll UCHC)
Faculty (including or excluding UCHC)
Staff (including or excluding UCHC)
Option 1) Granting Access to a SharePoint site as a whole
Follow these instructions when you want the affiliation group to have some level of access to the entire SharePoint site. This access level can be read-only, edit, or Owner (not recommended).
Please follow these instructions below instead of using the Right-click → Share method. Following the right-click method, depending on the chosen affiliation group, you may end up emailing thousands of people.
Navigate to s.uconn.edu/sharepoint and sign in with your UConn email address and NetID password.
Click on your SharePoint site to open it.
After a few seconds, the settings gear will appear in the top-right corner. Click on this settings gear and then click Site permissions.
Click Advanced permissions settings.
Click Grant Permissions in the upper-left corner
Enter the name of the affiliation group you’d like to grant access to and click Show options.
These names are listed in the “expand” below.Ensure you uncheck the “Send an email invitation” box, otherwise you will email each member of the group. Depending on your chosen group, this may be thousands of users.
Pick a permission level and select Share.
Users of the group you specified will be able to access the SharePoint site using the permission level you chose.
Option 2) Granting Access to a file or folder
Follow these instructions if you would like to grant access to a specific file or folder. This access level can be read-only or edit.
Please follow these instructions below instead of using the Right-click → Share method. Following the right-click method, depending on the chosen affiliation group, you may end up emailing thousands of people.
Navigate to s.uconn.edu/onedrive or s.uconn.edu/sharepoint and sign in with your UConn email address and NetID password.
Find the file or folder you would like to share.
Right-click on the file or folder and then click on Manage access.
Click on the ellipsis in the top-right corner and then Advanced settings.
Now follow the instructions in the above section starting at Step 5.
