Creating a Confirmation Template
Confirmation templates can be used to create a summary of a reservation including all requested rooms, services, and charges in one document. They are customizable, and multiple can be established should you want to cover specific cases.
Note that Confirmation Templates are not shared by default. They can be shared globally, but if you do so, we request that you tag your template with the Department abbreviation given to you in your onboarding materials.
To begin, navigate to the Confirmations menu: Reservations > Other > Confirmations
If editing an existing confirmation, select the template from the Setup drop down and click Edit. Otherwise select “(user specified)”
Fill out the information required, following the tabs from left to right. Each field depends on those that come before, so skipping a tab should only be done cautiously.
Date Range
Starting Date and Ending Date can generally be left blank to make the template general.Buildings
Ensure that all the buildings this confirmation should apply to are covered or relevant categories may not be covered properlyCategories
Similar to above, if your template does not include a category, that category will be exempt from the confirmation. This can potentially obscure potential charges applied to a reservationStatuses
Select the relevant statuses. Recall that all “Academic - “ statuses are reserved for academic classesOptions
Here you can select any header or footer messages you would like to include as well as a title to appear across the top of the document. Select the options to be included in the reservation as needed. A sample can be viewed with the Print Preview button in the bottom right.
When completed creating or editing you confirmation template, make sure to click the Save button at the top of the window before closing the template or your work will not be maintained

Once your template has been saved, you may use it to send a confirmation for any reservation. Note that if the template is not relevant to the event, EMS will still attempt to populate the given fields. This may create empty or unexpected confirmation text.
