Share Files Inside Microsoft 365 Apps
UConn faculty, staff, and students can share files directly from Microsoft 365 applications such as Word, PowerPoint, or Excel.
With a Microsoft365 program (Word, Excel, PowerPoint) open, and viewing a file, click the Share button in the top right.
Type in the email of the user(s) you want to share with.
These recipients do not need to be a UConn community member. To learn more about the external user experience, visit Share Microsoft 365 files with External UsersClick on the Pencil icon to alter their permissions on the file.
If you want them to only have view access (they cannot edit the file), choose Can view
If you want them to be able to edit the file(s), choose Can edit
If instead want to share this file as a link posted on a webpage, click on Copy link.
People in University of Connecticut with the link is similar to the previous option, however the recipients will need to sign into their UConn Microsoft365 account to access the file(s).
People with existing access can be thought of sending a reminder/notification to the recipients since they already have access.
Be cautious when using the Anyone option: This is not recommended. This option allows you to share your file/folder with anyone on the planet. Anyone may view/edit the file without authentication (signing in). This means anyone who obtains the share link can edit the data.
When choosing the “Anyone” option, you are given extra tools to help with security. Only when choosing “Anyone”, you may also set a password to access the data and an expiration date for the share link. After this date, or without the password, a user cannot access the data behind the share link.
