Using Groups in Forms and Workflow

  • Groups are made up of one or more Roles.

In this example, ITS TEST is the Group, which contains two Roles that may be used within a Form and workflow: ATS and Reviewer.

 

Using Groups within a Form: 

  • Configure a ‘New Data Lookup (List) Gadget by clicking on the Gadget.  

    • Select Choose under Data Source:

  • Search for the appropriate Blueprint used for the group by clicking in the Blueprint field with the  magnifying glass. 

  • Start typing to filter results. The Blueprint name will appear in a dropdown field for selection. 

  • In this example, the ‘Developers’ Blueprint is selected.

  • This Group associated with the Blueprint is now available for selection on the form.  

  • Notice in a Form Preview, the group is viewable when selecting the New Data Lookup (List) gadget.  

Note: You may find the Blueprint used by a group by navigating to Groups and searching for your Group.
If the Group you want to use does not have a Blueprint populated, contact your Kuali Build administrators by emailing techsupport@uconn.edu 


Using Groups within Workflow: 

  • On an Approval, Task, Acknowledge, Notification Step, select the step to configure.

    • Under ‘Who will approve at this step?* select ‘Person(s) in a role of any specific group'.  

    • Under ‘Which role from which group?’ Click the field with the magnifying glass to start typing: 

GROUP NAME – ROLE NAME 

  • In this example, the group name ITS TEST and role name ATS is selected: ‘ITS TEST – ATS'

  • Note the Administrators role is used for Group Management.
