Group & Role Administration

What is a Group? 

Groups and associated roles are commonly used in the Form Builder and when determining routing in Workflow. Application administrators may use groups and roles in their apps. 

Available Groups 

  • The University Organization structure will be centrally managed for use in workflow, though it will be condensed to a Department → VP/AVP/Dean → Division. 

  • Custom departmental or application specific groups may be created for you. Only ITS-ATS Kuali Build system administrators have the ability to create groups; however, designated group administrators may be defined for group management, which provides the ability to create, edit and delete roles and associated membership within a group. 

Requesting a Group:

Requests for application-specific groups can be made to the Kuali Build Administrators via the Technology Support Center Portal at techsupport.uconn.edu or by emailing techsupport@uconn.edu.

 

Administering a Group: 

  • From the Kuali Build home page, navigate to Groups by selecting Groups within the ellipses in the upper left hand corner, next to the Kuali Build icon:

  • Sort groups by title by clicking Group Name. 

  • By default, groups are sorted in alphabetical order.  

  • Start typing the Group name to filter results and select the appropriate group:

  • Groups can also be accessed by selecting a blueprint on the Blueprints tab and searching for the group in the side panel that appears. 

  • Select Roles: 

  • From the Group Roles view, Group Administrators may perform several actions, including adding or deleting a role, changing a group name, and adding, editing or deleting membership. 

 

Updating Roles:

Select View All People within a role, which will open a side menu to add, edit or remove membership.

Add a Person to a Role:

  • Click Add Person next to the plus sign 

  • Search by name or NetID: 

  • Start typing to filter by name or NetID and select the appropriate name: 

Search for a Person in a Role:

Search for existing members within a role by selecting the magnifying glass field: 

  • Start typing to filter by name or NetID. Results will narrow as you type. Click the appropriate name to select. 

Delete a Person in a Role:

  • To delete a person from a role, select the trash can icon to the right of their name.
