Creating Advance Deposits

Staff can create advance deposits through Kuali Financial Systems (KFS).

Advance deposits (ADs) are used to record receipt of funds that are credited directly to Bank of America and do not come through Cash Operations. These include:

  • Wire or ACH Payments

  • RDS Check Deposits

  • Regional Campuses and Other Off-Campus Locations

To create an Advance Deposit,

  1. Navigate to Accounts Receivable & Cash.

  2. Click on Advance Deposit.

  3. Fill out the required information.

  4. Click the plus () icon.

  5. Enter lines based on the tender type and the amount of each tender. Enter each tender in the Description field. (Ex. If this were a wire payment, the description would be Wire.)

  6. Select ADD after each line.

    • You can add additional information to the description as long as it begins with the tender type. (Ex. Cash – T-Shirt Sales 5/2020.)

  7. Enter Accounting Lines: Account Number, Object Code, and Amount.

    Note: The total of Accounting Lines must equal the total entered in the Advance Deposit tab.

  8. Attach the backup documentation for the deposit in Notes and Attachments. The backup includes but is not limited to:

    • Register Receipts

    • handwritten Receipts

    • Invoices

    • Payment Logs

  9. Select Submit once you complete the eDoc to route the AD to Cash Operations for approval.
