We covered the following on our call:

  • Migration to cloud would be ideal for UCONN.edu with the executive mandate, ability to host deep integrations, added layer of security features, and relief of administrative burden. Likewise you stated that any new system to be implemented will be cloud based or SAAS, where available. 
  • I understand that you have evaluated Cloud in the past and our goal is to have UCONN.edu connect to the entire user base. 
  • In regards to partnership, I understand that you may have the internal resources to take a project like this on. I wanted to provide you with some partner resources below. Please note that we usually see our customers of your size and instance capacity working with a servicing partner with projects of this capacity. Our formal recommendation is to work with a servicing partner. (Recommendations below- Would be happy to provide intros)
  • You will need to secure Executive buy-in, Budgeting approval, Legal approval, and Security approval. 
  • We discussed Atlassian Access and how you do need to claim your domain as this has not been verified previously. To understand your billable user count you will need to log into your portal  and swt up Atlassian Access- steps below- to see what your new billable user count will be.
  • Customer Cloud Journey now - Our goal is to migrate you to the cloud after your renewal on your Data Center instances coming up for renewal on 25 Feb 2021. I would suggest that you request an early renewal given the pricing changes you may be affected by on Data Center. Future Pricing Data Center- Pricing Tables. After your renewal it would be best for us to work with a servicing partner or your internal team to determine your findings in regards to instance complexity. This way we can determine if you will be performing a phase of a bulk migration into the cloud. 
  • As of right now without scaling efforts you should be able to take advantage of Academic discounting- user link below. If you would like to also take advantage of loyalty migration discounts you will need to ensure that your migration user count is over 1001+. You can review your license report I have generated for you below. It is best for us to review in greater detail so that you can secure budgeting for this project. 
  • Bitbucket (Data Center) - 500 users- SEN-13402073 - 25 Feb 2021- Our formal recommendation is that you leave BB on Data Center and link it to Jira in the Cloud. You would do so following the steps provided here: Linking Bitbucket Server with Jira. Should you migrate Bitbucket against our formal recommendation it would be best to review the link here: Plan your Bitbucket Server to cloud migration Know what you can migrate: Currently, we only support migrating repository data (your source code) from Bitbucket Server to Bitbucket Cloud. There's no supported method for migrating user accounts, permission structures, or repository metadata like pull request history and comments. We're currently gathering interest in this feature, so if this is something you need we recommend watching or voting for this issue. Note that due to the limited scope of data migrated, you can migrate from any version of Bitbucket Server.

Questions to ask a Partner:

  • Have you worked with a customer like ours in regards to migrating from Server to Cloud? (If so, walk me through this.)
  • How do you communicate when you run into roadblocks with your customers?  (if so can you provide an example in which this has occurred?)
  • If we were to utilise you for services do you have deals in which to package services and licensing for a bundling price?
  • How much do you charge for Servicing per hour or per project?
  • What makes you different from other vendors? 
  • Ask the partner if there are any terms around their services warranty?
  • What level of support do they provide should you utilize them to assist you with your deployment. 
  • What are your SLA's (response time) if bugs are found? 
  • What are your SLA's (response time) if a deadline is missed to place payment with a vendor? (provide a personal example.)

Action Items for UCONN.EDU:

  • Review your license report to determine user counts and scaling efforts to see if you can take advantage of Cloud loyalty discounts on top of your academic discounting.
  • Review the pricing calculator, academic pricing and loyalty migration discounts to help determine budgeting approvals.
  • Audit your current third party apps/plugins so that you can determine mission critical apps needed for migration. 
  • Review partner recommendations and if needed let me know when to provide introductions. 
  • In terms of a timeline determine if you will need to get a renewal quote for Data Center here. 

Action Items for Me:

  • Determine if the apps need to be DC versions prior to moving into the cloud. 
  • Determine the specific versions to prepare for the cloud migration. 

Immediate Next Steps

  •  We will set up a follow up meeting to determine next steps and to see if you have secured approvals based off of our recommendations. 

Whew that was a lot to go over.... I appreciate your patience while I got this email correspondence together.  I have placed a follow up meeting for us to discuss our findings on December 1st.  Please let me know if that time works for you or given our timeline if it makes sense for us to meet earlier.
