Customize Archiving with Personal Retention Tags

Beginning February 21, 2022, all Office 365 email-enabled user accounts will feature an Online Archive mailbox. Once the archive mailbox is enabled, ITS will implement a retention policy that automatically moves emails older than 2 years to the corresponding folder in the Online Archive mailbox. This retention policy helps reduce the mailbox bloat.

UConn employees can also set retention tags to individual folders or emails that will specify how long a message should remain in a mailbox and when it should be moved to the Online Archive.

 Personal Retention Tag

  1. Open and log in to Outlook on your workstation or log in to Outlook on the web.

  2. Right-click the folder that you would like to change the retention settings on.

  3. Click Properties.

  4. Select the Policy tab.

    In the Online Archive section, click the drop-down to see the options that are available.

    1. Here, you can set how often items in the folder should be sent to the Online Archive, or you can select Never to retain the emails in the folder in your primary mailbox.

In the Folder Policy section, you can change settings to auto-delete emails after a certain period of time.
