Guide for Cisco VoIP Phone 8841

Reference guide for Cisco VoIP Phone 8841 users. The 8841 Phone is used at UConn Stamford.

If you are NOT located at the UConn Stamford campus or you have the Cisco VoIP Phone 7841, visit:

Use these instructions if:

  • Your phone has a color screen display

  • Your phone’s volume button is configured horizontally

  • Your phone has a back button located under the left side of the phone screen

Compare your phone to this image: 8841 Phone Schematic to confirm that you have the 8841 model.

If you are still not sure which phone model you have, you can flip the phone over and check the model number located on the back of the phone.

To call a university extension number: Dial 5-digit extension number and then # (# optional).

To call an external phone number: Dial the 10-digit telephone number.

To call an international phone number: Dial 011 + Country Code + Phone number.

To call Emergency services: Dial 911.

Place a Call

To place a call using the handset:

  1. Lift the handset.

  2. Dial the number.

OR

  1. Dial the number.

  2. Lift the handset.

Answer a Call

To answer an incoming call, you can:

  • Lift handset OR

  • Press the Answer softkey.

Decline a Call

To immediately forward a ringing call to voicemail, press the Decline softkey.

End a Call

To end a call, you can:

  • Hang-up handset OR

  • Press the EndCall softkey.

Hold a Call

To place a call on hold:

  • Press the Hold button.

To retrieve a held call:

  • Press the Resume softkey OR

  • Press the Hold button.

Transfer a call

  1. Verify that you are in an active call (not on hold).

  2. Press the Transfer button.

  3. Enter the transfer recipient’s phone number.

  4. Wait for the recipient to answer or skip to Step 5.

  5. Press the Transfer button again.

Redial a Number

To redial the last call placed/received/missed:

  • Press the Redial softkey.

To redial a number from your call history:

  1. Lift the handset and press the bottom dot on the navigation panel.

  2. Select a number from your call history.

Conference Calls

To start a conference call:

  1. Press the Conference button.

  2. Enter the participant’s phone number.

  3. Press the Conference softkey to add participant to your call.

  4. Repeat to add additional participants.

To remove a conference participant:

  1. While in a conference, press Show Details.

  2. Highlight the participant’s name and press the Remove softkey.

NOTE: You can only remove participants if you initiated the conference.

Forward All Incoming Calls to Another Number

To immediately forward all your incoming calls to another number,

  1. Confirm that you are not in an active call.

  2. Press the Forward All softkey.

  3. Dial the extension or telephone number you wish to forward calls to.

Forward All Incoming Calls to Voicemail

  1. Confirm that you are not in an active call.

  2. Press the Forward All softkey.

  3. Press the Messages button.

Deactivate Call Forwarding

Press the Forward off softkey.

Corporate Directory

  1. Press the Contacts button.

  2. Select Corporate Directory.

  3. Select either First Name, Last Name or Number.

  4. Enter the search criteria, press Submit, and select a contact.

  5. Press Dial to place a call to the contact.

Change Ringtone

  1. Press the Applications button.

  2. Select Settings.

  3. Select Ringtone.

  4. Press Play to play the ringtone or press Set to select the ringtone.

Voicemail

Personalize your Voicemail

Initial Setup:

  1. Press the Messages button.

  2. Enter the default PIN (147258).

  3. Follow the prompts to record your name, greeting, and a personal PIN.

Message Waiting Indicators (MWI)

  • Solid red light on your handset OR

  • Message Icon on a line.

Retrieve your Voice Messages

Press the Messages button.

Forward a Voicemail

To Forward via the Phone Prompts:

  1. Listen to the new message.

  2. Hit 6 to forward.

  3. Provide an introduction.

  4. Hit ##, enter the extension and then #.

Displays status, feature, and call information.

Programmable feature buttons and Session buttons

 

Programmable feature buttons (left side): Use to view calls on a line or access features such as Speed Dial or All Calls.

Session buttons (right side): Use to perform tasks such as answering a call, resuming a held call, or displaying missed calls.

Buttons illuminate to indicate status:

  • Steady green: Active call.

  • Flashing green: Held call.

  • Flashing amber: Incoming call.

  • Steady red: Shared line in use.

Softkey buttons

Engages the associated feature in the display.

Navigation panel and Select button

Like a cursor, allows you to scroll through menus, highlight items, and select the highlighted item.

While on-hook, pressing the up option displays your Recent call list and pressing the down option displays your programmed Speed Dials.

Release Button

Ends a connected call or session.

Hold/Resume button

Places an active call on hold and resumes the held call.

Conference button

Creates a conference call.

Transfer button

Transfers a call.

Speakerphone button

Toggles the speakerphone on or off. When the speakerphone is on, the button is lit.

Mute button

Toggles the microphone on or off. When the microphone is muted, the button is lit.

Headset button

Toggles the headset on or off. When the headset is on, the button is lit.

Keypad

Allows you to dial phone numbers, enter letters, and select menu items (by entering the item number).

Volume button

Controls the handset, headset, and speakerphone volume (off hook) and the ringer volume (on hook).

Contacts button

Opens or closes the Directories menu. Use the Contacts button to access personal and corporate directories.

Applications button

Opens or closes the Applications menu. Use the Applications button to access call history, user preferences, phone settings, and phone model information.

Messages button

Autodials your voice messaging system (varies by system).

Back button

Returns to the previous screen or menu.

Phone handset.
