Timecard Exceptions - Troubleshooting

A timecard exception is where the employee entered hours on a timecard in a given week which generated an error in the system. This prevents the time from getting to the “Supervisor Approval” stage and will result in no payment for the employee. The Shared Services Business Center (BSC) monitors these exceptions on a monthly basis and will reach out to the department with guidance on issues that can be resolved by the departmental admin.

Listed are the most common exceptions and how to solve them:

  • Stipend Limits Exceeded

    • This means that there are more hours reported than what was anticipated for this role during this timeframe.

    • The solution to this would be to submit a PageUp data change and subsequently a data change in CORE in order to increase the stipend amount to account for the additional payments for the hours worked by the employee.  

  • Time Not within Stipend Dates

    • Confirm that the hours were submitted on the appropriate record and during the expected appointment dates.

      • If hours were reported on the wrong record:

        • Please have the person delete the wrong time and input it on the appropriate record. To avoid this error again, separate the old record and it will not give the person the option to incorrectly report their time again.

      • If hours were correctly submitted on the appropriate record:

        • An extension in PageUp has to be submitted to pay the employee the additional hours worked.

      • Hours were reported after the end date of the record:

        • This could happen due to an extension still in progress in PageUp.

          • If that is the case, then this will be cleared once the approved extension is entered in CORE.

      • If these situations do not rectify the situation, please the contact the BSC.

  • Work Study Balance Exceeded

    • A regular student labor hire must be created.

  • Time not in Work Study Dates

    • A regular student labor hire must be created.
