10th Day Processing Preparation and Execution

10th Day Processing preparation and day of

What is 10th Day Processing?

Email from Val Elwell to G. Gunn 1/23/2018:

“Hi Gregg,

You’re right, 10th day is the end of add/drop.  Students who drop after 10th day need to withdraw from the class if they no longer want to take it and a W grade appears on their transcript.

Part of what the 10th day processing does is to mark students who are no longer enrolled for at least one class in the semester, and therefore have a gap in registration, as ineligible to register in future semesters.

It does this by adding a “VDIS” academic program row to the student’s academic record, and this is why the term VDIS is also used interchangeably when people talk about 10th day processing.   VDIS processing and 10th day processing are the same thing as far as Student Admin is converned.

The remaining active student population (those not VDIS’d  for the semester), are used for census type reporting.

So it’s kinda hard to put all of this into a succinct sentence.

I guess I would say that 10th day processing identifies the actively enrolled student population for the semester to be used for census reporting.

Hope this helps,

-Val “

  1. Rob Rowland  - usually sends out a meeting invite a couple weeks prior to the start of semester to set-up meeting to prepare for 10th Day Processing.  At this meeting a spread sheet is usually handed out and prepared by either Sandeep or Sowmya.  The spread sheet is gone over and all changes or questions are addressed at the meeting.

  1. A week prior to the 10th Day of the semester Sowmya or someone will request SADM Census Snapshot ODS_CENSUS_1198 Trial Run which includes: “Please schedule PRD_SADM_ETL_SNAP and UAT_SADM_ETL_SNAP schedules to run on Sep 3rd  at 4:00 AM.”  This jobs need to be loaded out after 13:00 on the day that they will be running (actually the next morning 4:00 am).  I submit these jobs one at a time – the first job should be on holdand time dependency.  Once this is confirmed I take the hold off all the jobs.  I ask Sowmya to confirm once loaded out…  Fall 2019 – this took place on Labor Day…

Verify next morning that everything ran successfully  - send out an email…

On 10th day processing – which is usually a Monday night into Tuesday morning the above jobs will be requested again – comes from Sowmya or Varalaxmi.

Also the following schedules may be requested not to run:

Can you also please cancel tonight’s run of Regular SADM jobs in UAT (UAT_SADM_ETLNEW2) and PRD (PRD_SADM_ETLNEW2)?

In order to do this I take the Folder out of Specific User – and User Daily – UDP1300 and put it in manual mode. This will have to be reactivated before 13:00 next day to load out again as normal.

On Monday afternoon before 10th day verify with Sowmya that things look good.

Subject: 10th Day VDIS Testing - CSIN

Hi Louise,

With 10th day planning underway, I just wanted to check in on some scheduling. Do you have a tentative date/time between 9/1 and 9/10 for testing the process against CSCN? We would want to ensure that the UCHC students do not impact the process prior to running the live process on 9/10 as well as verify the password change to ensure that we are ready for the production run. Enrique and I will be support for the Fall 2019 process, so if you have any questions or need assistance, feel free to reach out to either of us.

Thanks,

Hi Louise,

Will you be running a test for the counts and process against CSCN?

Thanks,

Seth

Good morning, Seth.

I can run a test of the VDIS process today. Sandeep and I also usually run a count in CSPR late this afternoon to use as a reference point. Is there are particular time today that works better for your schedule?

Louise

Other jobs that need to be added and adjustments:

*** notes on above jobs –

  1. PRD-PSOFT-StopAll – 23:30 – this is the normal stopall job that loads out the time will have to be changed (modified) to 23:30 – (the normal backup PRD-PSOFT-MidnightBackupJob – must be put on hold when it loads out at 13:00)
  2. PRD-PSOFTT-MidnightBackupVDIS – this job is dependent on PRD-PSOFT-StopAll – I also set the time to 23:35 and have a hold on this job just in case – It has to be manually released –
  3. John Gwinnell will verify this backup has done what it should.
  4. PRD-PSOFT-UCVDISIneligEnrollUpdCensus – this job is dependent on successful completion of PRD-PSOFTT-MidnightBackupVDIS and also cannot be run until 00:01 the next day (after midnight) I have this job on hold and will need to be manually released.
  5. Once PRD-PSOFT-UCVDISIneligEnrollUpdCensus completes – Seth and Louise will verify data and give the ok to release the normal backup PRD-PSOFT-MidnightBackupJob – the normal PRD-PSOFT-StartAll will ran upon the completion of PRD-PSOFT-MidnightBackupJob

After regular midnight backup finishes   the Refresh process of CSRE starts –

Have to wait for an email from SAPROD – usually around 3:30 am – have to look for this message in the text near bottom of log: according to Maryann Gile -1/18/2018

Hi Greg,

Good question. The job does put out alot of messages!

I consider the database refresh successful when I see the following near the end of the job output:

02:53:08 . . importing table                   "PSPRCSRQST"        130 rows imported

02:53:09 . . importing table                    "PSPRCSQUE"        130 rows imported

02:53:09 Import terminated successfully without warnings.

02:53:09 RefreshCSRE: ... oracle procedure for CSRE refresh ended.

Maryann

Once this is confirmed the SADM 10th day processing jobs can be kicked off – these jobs will run throughout the day – must be monitored as it’s butted heads with the regular SADM schedule that starts at 18:15 that night.

Once this message has been received - which can be 3 hours – it is ok to release the 10th day processing jobs that are on hold and have a time of 04:30

May require to be taken off hold and run now if before 04:30…
