Instructors can use features and settings in Webex to ensure a secure, professional environment for their online classes.

ITS recommends using the Desktop App when Hosting a Webex session to be certain you have access to the full suite of Host controls.

Mute Participants on Entry & Mute All

Ensure participants are muted as soon as they enter using the Mute on entry option, this prevents you from being uninterrupted upfront. The Participant needs to make the conscious choice of unmuting. Users can temporarily unmute themselves by holding the spacebar.

You may also disallow the Participants to unmute themselves as well. The Participants will need to communicate through the Chat until they are unmuted. If you choose to do this and would like a Participant to speak, find them in the Participant Panel and click on the red microphone icon that sits after their name. This will not unmute them, but give them the option to unmute themself.

You will find the muting options in the Participant side panel.

Disable "Anyone can Share"

Avoid unauthorized screen/application sharing by un-checking “Anyone can share”. If necessary, the host can designate a specific user as a presenter during the Meeting. To do so, right-click on the user in the Participant Panel and Change role to → Presenter.

Lock your Meeting Room

Once all the participants are in the meeting, the host can lock the meeting. Anyone trying to join after the meeting room has been locked will be placed in the lobby and will require authorization to enter the meeting. Learn more here: Locking the Webex Room.

Learn about the Participant Panel

In the event a participant is disruptive, there are several actions the host can take. These are available by right-clicking on the user in the participant panel. The key ones are Mute, Stop Video, and in extreme cases, Expel. If the room is locked, the user will not be able to return, unless authorized by the host.
