Faculty, staff, and student employees may access shared calendars (mostly for conference rooms) in Office 365 Web Access and in the Outlook Desktop Client.

Note

The permissions granted to you determine your ability to update a calendar:

  • Read-only access allows you to view existing entries, but it does not allow you to make changes.
  • Authors may create and edit their own entries.
  • Editors may add their own and all other entries.

Open the Room Calendar in Office 365 Web Access 

  1. Sign in to Office 365 Web Access by going to email.uconn.edu and clicking on Office 365.
  2. Log in with your:
    • Login ID: UConn email address
    • Password: Faculty, staff and students use their NetID password.  Student workers use their student work account password.

  3. Once logged in, you will see the tiles for apps available to you. Click Explore All Your Apps.
  4. Click Calendar.
  5. Select Your Calendars on the left side of the window.
  6. Click the "+"
  7. Enter the resource number (i.e., resource4370) or display name (i.e., ~UITS - Help Center Training Schedule) of the calendar.
  8. Hit Enter.

The calendar will now be displayed with any other calendars open.

Newly-requested student access to shared calendars is granted under student worker accounts (NetIDwork@uconn.edu).
A current exception to this procedure is calendar access requested by IMS / Capri Price for her graduate students; we don't request creation of a student work account, as the only shared resource access they need is to shared calendars for equipment booking.
It is possible for a student to access a shared mailbox using only their NetID, by entering this URL in the browser's address field:
     https://outlook.office365.com/owa/mailboxname/?layout=light
     (replace 'mailboxname' with the address from the resource's contact card, as found in Outlook; i.e., https://outlook.office365.com/owa/resource4122@ad.uconn.edu/?layout=light, which will provide access to the ITS - Support shared mailbox.

Open the Room Calendar in Outlook Desktop Client

  1. Open the Outlook Desktop Client by clicking the Outlook icon on your computer. If you are prompted to log in, enter:
    • Username: UConn email address
    • Password: Faculty, staff and students use their NetID password.  Student workers use their student work account password.

  2. Click Calendar, located near the bottom left corner of your Outlook inbox window.
  3. In the Home tab, select Open Calendar.
    • Here, you can select From Address Book… , From Room List…, or Open Shared Calendar...

  4. Enter the display name (e.g., ~ITS – Conference Room 102A) or resource number (e.g., resource0010) of the calendar. Double-click the calendar from the search results.

The calendar will be displayed.
