Importing Accounting Lines (Budget)

Users can import Accounting Lines directly into any eDoc that has Accounting Lines in Kuali Financial Systems (KFS). 

General Guidelines 

Keep the following in mind as you import Accounting Lines.

  • The spreadsheet must be saved as a CSV file. 

  • If an import is done on both the debit and credit (to/from) sides, then each must have its own import file. 

  • Base Budget amounts cannot be imported. 

Importing Accounting Lines

  1. Navigate to the Accounting Lines tab. 

  2. Click on Import Templates

  3. Select the appropriate template for the eDoc (e.g., DI, GLT, BA, etc.) from the Data Import Templates menu.

    1. In the example images below, GEC_YEGEC_Import.xls has been selected.


      Tip: Save frequently used templates on your desktop for easy access. 

  4. A dialog box will open asking what you wish to do with the import file. Select Save As to save it as an Excel document on your computer.  
     

  5. Open the Excel document you saved.  

  6. Enter the Accounting Lines. The columns with red headings are required.

  7. Change the Amount column’s format to General to remove any commas in the column.  

  8. Delete the first three lines of text.

  9. Save the Excel document as a CSV file.

    1. Click on Other Formats.  

    2. Select the CSV Comma Delimited option.

  10. From the eDoc’s Accounting Lines tab, click the IMPORT LINES button.  

  11. Click on the Choose File button. 

  12. Find your CSV import file.  

  13. Click Open.  

  14. Click the ADD button next to the Choose File button to finish importing the Accounting Lines.

The Accounting Lines will then be successfully imported into your eDoc.
