Beginning February 14th, 2022, all Office 365 email-enabled user accounts will feature an Online Archive mailbox. Once the archive mailbox is enabled, all emails older than 2 years will be automatically moved to the corresponding folder under the Online Archive mailbox. This retention policy helps reduce the mailbox bloat. However, users can set retention labels to individual folders or emails by following the instructions below:

Open and login to Outlook

  1. Right click the folder that you would like to change the retention settings on.

  2. Click Properties

  3. Select Policy tab

  4. In the Online Archive section, click the drop down to see the options that are available:

  5. Here you can set how often items in the folder should be sent to the Online Archive or can alternatively select Never to retain the emails in the folder in your primary mailbox.

In the Folder Policy section you can change settings to auto delete emails after a certain period as well.
