Faculty, students, and staff using UConn Webex Suite can choose from 4 types of sessions: Personal Room, Scheduled Meeting, Event, and Training.
The difference between session types:
- Personal Rooms have a static (unchanging) join link.
- Scheduled Meetings each have a unique join link.
- Events are for one-way dissemination of information to a large group. For the Cisco Webex official description of Events, see Host Webinars with Events (YouTube).
If you are hosting a public session (including interviews), you may want to use a Scheduled Meeting so that your Personal Room link is not released. Another option is altering your Personal Room Link for the duration of the session(s), and then changing it back afterwards. Review the article Customizing your Webex Profile to learn how.
Webex Session Types and Features
Personal Room Meeting
- Static (unchanging) join link makes repeated joins easy.
- Does not need to be scheduled; always ready to go with one button.
- Two-way communication.
- All participants can turn on camera, microphone, and share content.
Scheduled Meeting
- Unique joins links.
- Must be scheduled and can recur.
- Can have unique name (can be named after your class, for example).
- Two-way communication.
- All participants can turn on camera, microphone, and share content.
Webex Event
- Unique join link.
- Must be scheduled and cannot recur.
- Can have unique name.
- One-way communication: webinars, panels, conferences.
- Distinct user roles: Host, Panelist, Attendee.
Webex Trainings
While Webex Trainings remain available to you, ITS does not support it.
Scenarios
Office Hours
ITS recommends that you use your Personal Room for office hours. Simply post your Personal Room's join link and hours (when students can join) in HuskyCT so that students may find it throughout the semester. Online/Hybrid Class
Either Personal or Scheduled Meeting sessions will work for classes. You should review the descriptions above each session type to make your choice.
Be certain of which option you are planning on using so that you send your students the proper link to the session. It can be easy to mistakenly create a Scheduled Meeting and send the link to the students but then open up your Personal Room on the day of class.
Department Meetings
Either Personal or Scheduled Meeting sessions will work for department meetings. You should review the session descriptions above each session type to make your choice.
One easy way to tell if a meeting is using a Personal Room is to check if the join link ends in a NetID, a name, a real word, or department abbreviation.

All Scheduled Meetings have unique and randomly generated Join Links. They are very long and contain many random characters. These meetings do not auto-lock like Personal Rooms do.
