  1. Exit Outlook and Teams

  2. Choose Start > Control Panel > SearchMail” (top right corner)

  4. Type the name of the profile e.g. shared-email and click OK

  5. ​Enter the shared account information – sharedaccount@uconn.edu

  6. You may be prompted for a password – type YOUR firstname.lastname@uconn.edu and NetID password here

  7. Click Next 

  8. Click Finish

  9. In the Mail window, select the new profile (shared-email) and (shared-email, for example) and click OK

  10. A new window will pop up, hit Cancel. Due to a bug you will need to set up the profile without any mailboxes at first.

  11. Click OK in the next window to create a profile with no mail account.

  12. Back in the Mail window, select Prompt for a profile to be used.

  13. Open Outlook and click the down arrow next to the profile name to select a profile – choose the shared account profile (e.g., shared-email)

  14. Select the Send/Receive tab and select the Work Offline button (Mac Outlook - select Tools tab and toggle the Online/Offline button)

  15. Open the document you want to send via Mail Merge

  16. Select the Mailings tab

  17. Click Select Recipients and choose “Use Existing List

  18. Use the dialog box to open your mailing list

  19. Select the appropriate table in the text dialog box

  20. If necessary, select Edit Recipient List and de-select all unwanted data

  21. Select Finish and Merge

  22. Select Send E-Mail Messages

  23. In the “Merge to E-mail” dialog box that comes up, verify that the “To:” field and the “Subject line” field show the correct fields. Then verify that the mail format is HTML. Click OK.

  24. The emails will then propagate in your Outbox in Outlook

  25. If needed, you can open the messages in the Outbox and manually edit any information. For example, in the “CC” field you could add additional recipients.

  2. When you open Outlook, you will now be asked to sign into an account. Enter the address of the shared mailbox you want to send the mail merge from, then click Connect.

  3. On the next screen, press Sign in with another account.

  4. Enter your UConn email address, then click Next.

  5. Enter your password and click Sign in.

  6. Complete the Duo authentication process if prompted.

  7. The sign in process will hang and an error will appear. Please minimize any windows you have open on the desktop until you see the error message below and press OK.

  8. Click Done. Outlook should open, and you should now have a profile with only the shared mailbox added.
