Send SharePoint Items in Outlook

UConn faculty and staff can send items in their SharePoint quickly and securely by using Outlook without having to download them onto the computer.

Recommended: Share Link

This method of sharing generates a link to the item, it does not send the recipient(s) the file itself. Creating a link ensures the file remains encrypted; the recipient will need to sign into their Microsoft account in order to view/edit the item. When the user opens the file, you are both editing the same file while changes are saved to your SharePoint. If you are working on a Microsoft365 file at the same time, you will see updates from each user as they are typed.

Attach

This method is akin to the well-known method of attaching a file to an email. The file will be separated from your SharePoint; any updates made to the attached file will not be reflected in your file in SharePoint. This method uses no more security than a regular, secure Outlook email. The file will be downloaded to your computer before the email is sent.

If you do not have external sharing enabled and wish to send a file to someone outside of the university, you will need to follow this method.

Reach out to ITS if you would like to enable external sharing on your SharePoint site in order to collaborate on files with users outside of the university.
