Advisors can use the College Scheduler tool to generate and share possible class schedules for their advisees in preparation for registration. College Scheduler allows advisors and students to build an ideal schedule based on campus, term, subject, times of day, and desired breaks.

Once a student chooses an optimal schedule, they can enroll in those courses directly using the College Scheduler tool when their enrollment appointment (also known as a pick time) arrives.

Launching the College Scheduler through Advisee Details

  1. Log in to your Student Administration System account.

  4. Click the Self Service tab.

  6. Click the My Advisees tab.

  7. Click on View Student Details on the student’s row in the My Advisees table.

  8. In the Advisee Student Center, click the Scheduler Builder link under Academics.

  9. Click Open Scheduler Builder.

  10. The College Scheduler tool will open in a new tab. Select the appropriate Term followed by Save and Continue.

  11. From the list of available options, select the appropriate Campus(es) followed by Save and Continue.

Building a Schedule for your Advisee

  1. On the following page, information such as Course Status, Sessions, Term, Campuses, and Instruction Modes will display.

    1. To modify any of this information, click the corresponding Change button.

    2. Once you click Change, you will be redirected to the list of available options. Make an appropriate selection and then click Save to return to the Build Schedule page.

This is the College Scheduler homepage.  It allows you to change your preferences.  You can add courses and breaks to your schedule.  From this page, you can generate and review both possible and registered schedules as well as any courses that you placed in your shopping cart.

If you are on a mobile device, the Build Schedule page will have the sections listed in the navigation bar.

The College Scheduler is displayed differently on your mobile device and tablet where the options, courses, breaks, and schedules are located in the navigation bar.

Adding Courses

  1. Select Add Course from Build Schedule tab on the College Scheduler homepage.                                      

    Selecting the Add Course button from the College Scheduler homepage allows you to build courses into your schedule.

  2. There are five ways to select courses and add them to a schedule, namely by Subject (default), Course Attribute, My Planner, Class Number, or Instructor.

    This represents the search options for the five Add Course modes.

    ________________________________________________________________________________________________________________ (info) Regardless of the chosen Add option, once you have completed adding all of your courses, return to the College Scheduler homepage by clicking Go Back To Generate Schedules.

    You can always navigate back to the College Scheduler homepage by selecting the Go Back to Generate Schedules button.

 By Subject

By Subject

  1. Adding a course By Subject:

    1. Select a Subject and Course from their respective picklists.                                  

      Identify which Subject and Course combination to select to add to your schedule.
    2. After clicking Add Course, your selected course will appear in the Courses list.

      Selecting the Add Course button will save the course to your schedule.
    3. Repeat steps above to add additional courses by Subject.

 By Course Attribute

  1. Adding a course By Course Attribute:

    1. Select an Attribute, Subject, and Course from their respective picklists.                       

      Identify which Course Attribute, Subject, and Course combination to select to add to your schedule.
    2. After clicking Add Course, your selected course will appear in the Courses list.

      Selecting the Add Course button will save the course to your schedule.
    3. Repeat steps above to add additional courses by Course Attribute.

 By My Planner

By My Planner

  1. Adding a course By My Planner:

    1. Choose an option from the Plan Term picklist.

    2. Using the available checkbox options, you can select all courses or as few as one course to add the course(s) to the term.

      You can select courses that you previously added to your planner.
    3. After clicking Add, your selected course(s) will appear in the Courses list.

      Selecting the Add button will save the course(s) to your schedule.
    4. Repeat steps above to add additional courses by My Planner.

 By Class Number

  1. Adding a course By Class Number:

    1. Enter the corresponding Class Number from Dynamic Class Search or Class Search.   

      Identify which Course by Class Number to add to your schedule.
    2. After clicking Add Course, your selected course will appear in the Courses list.

      Selecting the Add Course button will save the course to your schedule.
    3. Repeat steps above to add additional courses by Class Number.

 By Instructor

By Instructor

  1. Adding a course By Instructor:

    1. Enter the corresponding Instructor and Course from their respective picklists.            

      Identify which Course by Instructor to select to add to your schedule.
    2. After clicking Add Course, your selected course will appear in the Courses list.

      Selecting the Add Course button will save the course to your schedule.

3. Once you have added all desired classes, select Go Back To Generate Schedules to return you to the College Scheduler homepage and review all of your added courses.

The College Scheduler homepage lists all of the courses you have added to your scheduler.

Adding Breaks

The College Scheduler allows you to build breaks into an academic schedule. For example, if the student has a part-time job in the mornings three days a week from 7 – 10:30 am, their job can be included as a break in their schedule, which will generate schedules with classes that begin at 11 am or later on those days.

  1. To add a break, select Add Break.                                                                                                                                     

    Selecting the Add Break button from the College Scheduler homepage allows you to build any needed breaks into your schedule.
  2. Indicate the specifics of the break, including times, frequency, and duration of the break sessions, and then select Add Break.

    Define the details of the break that you want built into your schedule.
  3. You are automatically returned to the Build Schedule page where you will see the break you added.

    The Breaks are rendered on the College Scheduler homepage.

Generating Possible Schedules

Once courses and breaks (if desired) have been added, College Scheduler can generate possible schedules using the courses and breaks specified.

  1. From the main College Scheduler page, click Generate Schedules under the Schedules section.

    Once you have added your courses and your breaks, select Generate Schedules to produce several possible schedules from which to choose.
  2. You may receive a message that College Scheduler was unable to generate possible schedules. If that happens, try adjusting one or more of the courses and/or breaks.

    If there are any time conflicts that prevent College Scheduler from building a possible schedule for you, go back to either Courses or Breaks and try to resolve any conflicts.
  3. After making adjustments, click Generate Schedules again.

  4. Click View Possible Schedule next to the options that appear.                                                                     

    College Scheduler will produce one-to-many possible schedules based on the courses and breaks that you added.
  5. Review possible schedules until you identify your preferred option.                                                              

    Review the potential schedule permutations using the navigation arrows to scroll through each schedule.
  6. Click Validate to inform you of whether the student will be permitted to enroll in the classes you have selected. Reasons for being prevented from enrolling in a class include:

    1. The class has a prerequisite.

    2. There is a reserve capacity (cap) tied to a class.

    3. The instructor requires prior consent before enrolling in the class.

    Select the Validate button to determine if there are any reasons why you won't be able to enroll in a given course.The validate action will identify both courses in which you are unable to register and courses in which you will be successfully registered.

Emailing a Potential Schedule to your Advisee

Once you identify a desired schedule, you can email this schedule to your advisee.

  1. From your chosen Potential Schedule, click Email.

  2. Enter the fields in the Send Schedule via Email modal window that appears. Click Email Schedule.

  3. To exit the student’s College Scheduler, close the College Scheduler tab in your browser.
