Surplus uses information submitted via Asset Panda to contact the department to schedule the pick-up of assets. Lead-time is 5 to 10 business days. Material that Surplus does not accept includes, but is not limited to, construction debris, light bulbs, household trash, and lab glass.

For Freon and oil removal from refrigeration units and motors, a work order must be placed with Facilities Operations prior to Surplus picking up those items. A step-by-step process is listed at stores.uconn.edu/surplus.html.

Asset Panda can be used on mobile devices. The following instructions are for the iOS app.

  1. In the menu bar, select Tools.
  2. Select Group Scan.
    Above Account, select Group Scan
  3. Tap on the space next to "Group Scan."

  4. Tap on the Assets checkbox.
    Tap Assets
  5. "Assets" should appear next to "Group Scan."
    1. Check Verify Duplicate After Scan.
    2. Check Prompt Each Time.
    3. Tap the checkmark.
  6. Tap Scan Barcode.

  7. The barcode scanner will pop up. Scan your asset.
  8. After scanning, a pop-up message will appear with three options.
    1. Add New Entry: Adds items without UConn barcode stickers into Asset Panda so they can be marked as Surplus.

       Steps for Adding a New Entry

      1: Tap Take a Photo.
      At the top of the testing page, select take a photo

      2: Tap Take Photo, take a photo, and tap Use Photo.

      3: Enter a description of the item, and then tap Save.

      4: Return to Step 8.

      Tap Take Photo, take a photo, and tap Use Photo. Then enter a description of the item, and then tap Save.

    2. Scan Barcode: Allows you to scan items with existing UConn barcode stickers and add more records to the group for the same location. If selecting this option, see Step 6.

    3. Finish Group Scan: For continuing along in the Surplus Process. Tap this option to move on to the next steps.
  9. Tap on the red circle with three white dots.

  10. Tap Apply Group Actions.
    Select the top option
  11. Tap Surplus Equipment.
  12. Fill out all required fields (marked with *). Then tap Save.
    1. Date of Service: Defaults to today's date.
    2. Surplus Equipment: Autofills to "Yes."
    3. Contact: Enter contact person's name if different than user stamp.
    4. *Phone: Enter full phone number; extensions do not work.
    5. Building Code: Search by entering the building name. Tap on the building, and the building code field will automatically populate.
    6. Room Number
    7. Data Certification: A Data Certification Form must be completed for all computers/electronic media going to Surplus. Tap here to indicate completion of the form verifying that all data has been permanently removed from the hard drive. The Form must accompany the asset to Surplus.
    8. Dept Delivered: Tap here to indicate that the asset will be delivered to Surplus by the department (no pick-up required).
  13. After creating the Group Action, you can either:
    1. Start a new group scan by tapping Scan new items.
    2. Minimize the app and swipe up to exit.

After completing the group scan, you will receive an email from Asset Panda indicating your request was received by the Surplus Unit.

What Happens When You Lose Wifi?

When Wifi Connection is lost you will receive a loading screen. When the connection is re-established your progress will resume exactly where you left off. No data will be lost. 

If Wifi signal is lost during the updating of an individual asset, you will see a spinning wheel when you press the red checkmark. Once the signal is re-established, the record will be updated, but the asset must be rescanned to be included in the group scan process.

iPhone with Cellular

When Wifi connection is lost, you will receive a loading screen and an error message saying a data connection has been lost. At this point, the app will continue using cellular data if enabled until a Wifi signal is re-established. Your progress will resume exactly where you left off. No data will be lost.
