Instructors can use features and settings in Webex to ensure a secure, professional environment for their online class.
Please use the Desktop App when hosting a class. The Web App does not have the full suite of Host controls. Learn how to set up the Desktop App.
Mute Participants on Entry & Mute All
Ensure participants are muted as soon as they enter the meeting so that the main presenter can be uninterrupted upfront. If necessary, the user can un-mute themselves at a later time or the meeting host can un-mute them. Users can temporarily unmute themselves by holding the spacebar. You may disallow the Attendees to unmute themselves as well. If you choose to do this and would like an Attendee to speak, find them in the Participant Panel and click on the red microphone icon that sits after their name. This will not unmute them, but give them the option to unmute themself.
In the Participant menu at the top, you will find all the participant muting options.
If you are using the Web App, you can also mute all participants on entry. Use the More Options button that sits directly to the left of the red X exit button. The More Options button has an ellipsis on it.
Disable "Anyone can share"
Avoid unauthorized screen/application sharing by un-checking “Anyone can share”. If necessary, the host can designate a specific user as presenter during the Meeting. To do so, right click on the user in the Participant Panel and Change role to → Presenter.
Disable Other Features/Privileges
Disable video, chat, notes, file transfer, participant list, etc. Learn more here: Managing Privilege
Lock your meeting room
Once all the participants are in the meeting, the host can lock the meeting. Anyone trying to join after the meeting room has been locked will be placed in the lobby and will require authorization to enter the meeting. Learn more here: Locking the Webex Room. Personal Rooms begin in a locked state.
Learn about the participant panel
In the event a participant is disruptive, there are several actions the host can take. These are available by right clicking on the user in the participant panel. The key ones are Mute, Stop Video, and in extreme cases, Expel. If the room is locked, the user will not be able to return, unless authorized by the host.
How to Prevent Webex Recording Downloading
If you're sharing the link to the recorded Webex session, you can turn on an option to prevent downloading.
To the right of the recording, click the more option
Click Edit
Turn on Prevent downloading and click Save
