Email and File Storage Moved to Microsoft 365

Starting in May and into July 2024, UConn is moving students from Google to Microsoft 365. In this migration, files in Google Drive are copied to a folder titled “GDrive” in Microsoft OneDrive and past emails are copied into Outlook.

Migration Limitations
Not all files or features in Google Workspace will transfer to Microsoft 365. For example, links to other UConn Google Drive files (also known as shortcuts) will break and need to be recreated. You will also need to “re-share” documents. View this guide on what will and will not migrate for more information.

Timeline for Google Migration

Due to the large volume of data and high number of accounts, we are moving students in batches This means not everyone is moving at the same time. You will know it’s your time to migrate when you receive emails from GoogleMigrations@uconn.edu with instructions specific to your account and migration.

This timeline applies to UConn students currently enrolled in summer and/or fall courses.

  1. Preparation: ITS will pre-stage your migration. We move copies of your emails and files to Microsoft 365 to prepare for the final move. During this stage, do not touch the files that you see coming into your GDrive folder in OneDrive, and continue using Gmail for email. You will not be notified of impending prestaging. You will however be notified of potential issues with your migration that you can address at that time.

  2. It’s your time/email service switched: You’ll receive a message from GoogleMigrations@uconn.edu that says, “You are moving to Microsoft 365 this week.” This is your week! Check your email because you’ll get specific instructions each step of the way. Once you get this message, you should not modify files in your Google account because these updates might not make the move. This will be the last email you will receive in your UConn Gmail. From that point, begin checking your UConn email in Outlook.

    Note: If you receive email at a UCHC email address, your data will be migrated to Microsoft 365 but your email will continue to go to your UCHC email address.

  3. Email History: The next message will let you know when we have moved all of your Gmail data to Outlook, including all messages received since we pre-staged your email.

  4. Drive migration: You will receive messages about the migration of your files from Google Drive to OneDrive. If there are issues with files and they wouldn’t move, we will send you a message that notes the errors and provide information about how to fix them. You will be able to safely access your files in the “GDrive” folder now.

  5. Migration complete: You will receive an email when both your email and Drive data have been moved to Microsoft 365. At this point, your Google account is now read-only. You will have approximately 60 days where you can access your Google files but cannot save new data (you’ll have a 0-byte limit on your Google account). This transition period gives you time to address any migration errors. Any changes to your Google Drive will not be synchronized with OneDrive.

  6. Account closure: Approximately 60 days after we finalize your migration, we will close your Google account and permanently delete the data in it.
