Microsoft Teams Breakout Rooms
When hosting a Teams Meeting, organizers have the ability to split participants into Breakout rooms before or during the meeting. These rooms can be used for small focus groups or team collaboration.
Organizers can do the following during Breakout rooms:
Set room time limits
Assign people to Breakout rooms
Send announcements through Breakout rooms
Open and Close Breakout rooms
Access attendance reports for each Breakout room.
Breakout Rooms can only be created by the meeting organizer in a scheduled meeting.
Creating a Breakout Room Before a Teams Meeting
From the Teams Calendar, click on the meeting.
Select the View Event arrows.
From the Event Details window, click on the three dots located at the top.
From the drop-down menu, select Breakout rooms.
After selecting Breakout Rooms, a new page will appear. Organizers can create rooms manually or import from a CSV file.
Create Rooms: By choosing Create rooms organizers can determine the amount of rooms that are needed.
Import from CVS: Organizers can also assign participants to breakout rooms by importing a CSV file. Files should include one column for the breakout room names and another column for the participant’s email address. A downloadable CSV template it provided after selecting ‘Import from CSV’.
Creating a Breakout Room During a Teams Meeting
As the meeting organizer, select the Breakout rooms icon from the top bar. This option is not available to meeting participants.
To change the number of rooms, click the down arrow next to 1 and select the desired number of rooms.
To randomly assign people to each room evenly, select Automatically.
To specify which person goes to which room, select Manually.
Click Create Rooms.
If you choose to manually assign participants, click Assign participants in the right sidebar to add people to each room.
Select the desired user and click Assign.
Select the room you would like to assign them to.
To add additional rooms, click Add room.
Once all participants have been assigned, select Start Rooms.
At the end of the session, breakout rooms can be ended by clicking Close rooms. This will bring all meeting participants back to the main room.
