Undergraduate Students

Recruitment

You can post jobs, manage, and select students to interview through the University's Student Employment website, JobX

  • JobX Log In. From here, you can go to Help > Online Help to access supervisor and student employee user guides. Supervisor topics include posting jobs, hiring information, and managing timesheets. Student employee topics include finding a job and submitting timesheets.

All Greenhouse Studios undergraduate employees are hired under Class IV. We have a common job description for our Class IV listings, which can be updated to suit specific job duties that we are seeking.

Onboarding

Once a student has confirmed their acceptance of their job offer, you will need to get their NetID to be able to process them in the student employment system.

The Student Employment Platform may be accessed at the Library Human Resources page; select the Student Employment Form in drop down list. Expect roughly two weeks from the submission date to the hire date.

  • Most of the information needed with auto-populate when you put in the student’s NetID

  • Be sure to select Student Labor, and select “400 Class IV Advanced Level Professional Training” from the drop-down menu.

  • Start date can be flexible, but ideally will fall on the first day of a new pay period (a Friday). Both the end date and separation date can be the projected date of commencement for the May semester during which you anticipate them to graduate. This can be changed in future semesters when you know their concrete end date.

  • Pay rates will usually be $20 (see Pay Rates & Raises below), and hours will be agreed upon when the employment offer is accepted (typically up to 10/week during semesters, up to 15/week during summers).

  • When indicating the funding source, you will leave a comment in the open field at the bottom listing the account name and KFS number. Example: “please put this student on CDS account (KFS #XXXXXXX), effective 5/5 - bfg”

All new students will need to complete an I-9 (Employment Eligibility Verification) within three days of their start date. Have them email Kim Giard to schedule an in-person appointment.

Pay Rates & Raises

Effective January 1, 2023, new Greenhouse Studios Class IV student hires will be started at $20 per hour, and will receive a pay raise of $1 each July, provided they have been employed for at least one academic semester prior to July of that year. For example, a sophomore hired midway through Spring 2023 will be paid $20/hour, and will receive a pay raise to $21/hour effective July 1, 2024, and to $22/hour effective July 1, 2025. 

Students who began employment prior to January 1, 2023, will maintain their pay of $22/hour until they have reached a tenure of six semesters of employment, at which time they will be eligible for a pay raise of $1 on the next July 1st. For example, a student who was hired in Fall of 2022 at $22/hour will be eligible for a pay raise to $23/hour on July 1, 2025.

Updating Student Records

You can make the following changes to a student's employment by viewing their record, and then using the EDIT button.

We often need to edit the funding source for our students throughout the year, and you can find the KFS numbers in our Airtable funding sheet (embed). When needing to make changes to a funding source, you will leave a comment in the open field at the bottom indicating the account name, KFS number, and date of effective change. Example: “please move to CDS account (KFS #XXXXXXX), effective 5/5 - bfg”

Commencement & Separation

In the weeks leading up to commencement (which usually occurs in the first week of May), begin planning for student gifts and thank-you cards. Undergraduates each get a lime green graduation cord that they can wear for photos and their commencement ceremonies with their regalia, so ideally they will receive them at least a week before their commencement.

Separating a student may include either a planned end date, or an immediate termination. (For immediate terminations see the Progressive Disciplinary Policy in the Student Employment Guide.) When separating your student, go to the Student Employment Platform, click the End Employment button, and enter the date of separation.

Once you have separated your student, please send their complete file to the Office of the Dean, U1005A, for retention purposes. Please contact Angela Frati if you have any questions.

Graduate Students

Below is draft correspondence for starting off a new semester:

“Welcome to the first week of the new semester! We are so thrilled to have you all on board starting XX!

This email details your first few tasks, as well the tentative GA schedule for in-person hours. We can certainly adjust as needed, just reply to XX on this thread with any requests for different hours. The work assigned for everyone this week can be completed remotely (though you are certainly welcome to come in and get settled in your spaces!) and we will begin the first full week of in-studio hours during the first week of classes, next week. We anticipate that all or most of your hours will be completed in-person, with some flexibility built in for instances where you might need to be remote. In the event that you need to make a schedule change on the fly (illness, car trouble, class ran late, etc.), you can just send XX a DM on Slack (new students will receive Slack invitations this week).

📝 First Week Tasks (week of 8/XX, due by Monday 8/XX)📝

  1. A current headshot - jpg or png - if you already have one on our website you may opt to keep the one you have now.

  2. A brief bio modeled in the style of the existing bio cards displayed on the People page of the Greenhouse Studios website (I.e. should focus on interests and aspirations rather than titles, affiliations, accolades, etc.). You are encouraged to include a list of social media handles and personal/professional websites, as well as your preferred pronouns. Likewise, if you already have one and have no changes to make, reply letting us know. Don't stress too much over this - we have some very gifted bio crafters on this thread who will help you polish off your bio before it goes live!

  3. A draft blog post which will be published on the Greenhouse Studios blog, and will also serve to help the rest of the team to get to know you and your ambitions. In at least 250 words, please address the following topics in any order and style that suits you: 1) What do you hope to accomplish in your time at UConn over the next academic year (includes both coursework and extracurricular)? 2) What do you hope to get out of your time at Greenhouse Studios during your tenure? This can be skills and experiences that you hope to gain, types of projects you would like to work on, and contributions that you would like to make. If you've already been with us for a year, please include anything you'd like to build upon from the previous year and anything that has been significantly meaningful to your experience so far. 3) What questions and curiosities do you have on your mind? 4) What do you want to be “when you grow up?” Put another way, what do you see your trajectory being after graduation? Would that trajectory be the same or different if you had no constraints and unlimited resources? (In this context, “constraints” and “resources” include skill sets and expertise.) 5) Are there any interests, hobbies, fun facts, or anything else that you would like to share about yourself? Please note that "I don't know" is a perfectly valid and welcome response to any of these prompts! 

  4. Please send the above items to Brooke Gemmell (brooke@uconn.edu) and Tom Lee (Thomas.Lee@uconn.edu) via email by Monday, 8/XX. The blog post and bio will ideally be created in a Google Doc, either separately or together in one document. Please label it with your name in the title.
