This article is intended for users who wish to restrict the permissions that recipients of their emails have. This service is called Information Rights Management (IRM)

Note

IRM is a way for users to protect sensitive information contained within emails. Usage rights are given to the email using Active Directory Rights Managements Services (AD RMS) and allows users to control rights, actions, and permissions (e.g., who can view, forward, or print the message).

Applying IRM in Outlook

  1. Open new email in Outlook.  IRM can be applied by going to Options, and then Permission.
  2. Choose one of the four permission policies listed.  The four policies are:
    1. "Unrestricted access" → senders and recipients have full permissions to the email, including the rights to forward, edit, save, reply etc.
    2. "Do Not Forward" → allows recipients of these emails to reply, edit and save the email but not forward to internal or external users. The forward button on the email will be grayed out.

    3. "University of Connecticut – Confidential"→ option indicates the message is intended for users inside the organization only. The recipients will have full permissions to the email.

    4. "University of Connecticut – Confidential View Only"→  indicates the message is intended for users inside the organization only, and the message can only be viewed. The recipients cannot save, edit, reply, or forward the email.
