Bundling proposals in CourseLeaf CIM

Purpose: Proposals in CourseLeaf CIM can be bundled to ensure that all related proposals move through workflow and are approved at the same time. There is no limit to the number of proposals that can be bundled, and the system allows course proposals to be bundled with program proposals. When and why to bundle

If proposals are related to the point that the changes in one proposal depend on the approval of one or more others, they should be bundled. There are a number of scenarios that could lead to bundling proposals, but some common ones include:

  • Creating a new course (or significantly editing an existing course) and simultaneously adding it as a required or elective course for a program.

  • Creating a group of courses to be used exclusively as part of a new graduate certificate program.

  • Making similar changes to the requirements of multiple programs in the same field of study, such as adding a new elective course to a master’s and a doctoral program in the same department.

Expectations for curriculum committees

While the primary responsibility for bundling related proposals when appropriate belongs to the proposer, curriculum committee members and chairs should be on the lookout for related proposals that have not been bundled. If two or more related proposals come before the committee for review that aren’t bundled, the committee should insist that the proposals be bundled before approving either.

If related proposals have not been bundled by the time they reach the Registrar’s Office stage of workflow, they will be rolled back to be bundled.

How to Bundle Proposals

When you are ready to submit a course or program proposal for review and select “Start Workflow,” the system will check for any other proposals with which to bundle the proposal. To bundle proposals, give the bundle a title that will be useful to reviewers, select any proposals to bundle and select “Start Workflow.”

Adding Proposals to an Existing Bundle

If a bundle has already been created and you wish to add additional proposals, open one of the proposals in either the course or program form, or the CourseLeaf dashboard. A green “+” icon will appear next to the bundle title:

When you select the green icon, it will open up the same “Choose Proposals to Bundle” interface when starting workflow on a proposal.

Adding Three or More Proposals to the Same Bundle

If you need to bundle several proposals together, it is recommended that you complete and select Save Changes for all but the last proposal. Once the last proposal is complete, select “Start Workflow” and then select all the related proposals to include in the bundle. That way, workflow is not started prematurely for any of the proposals.

Reviewing Bundled Proposals

When proposals are bundled, they go through all the steps required for all proposals. This doesn’t mean that proposals will need to be reviewed by committees that wouldn’t typically review them - for example, the Common Curriculum Committee would not need to review a proposal for a graduate degree program - but it ensures that none of the proposals reaches the final stage of workflow before the others do.

When opening a proposal in a bundle, a list of the bundled proposals will be displayed at the top of the proposal. Any proposals you have not yet opened to review will have an icon of an eye with a line through it (see Fig. 1). Reviewed proposals will have an eye icon without the line. The system will not allow you to approve the proposal until you’ve reviewed all of the bundled proposals.
