Accessing the CourseLeaf Curriculum Inventory Management (CIM) System

Overview

Purpose: This article provides information about accessing the CourseLeaf CIM system to submit and review curriculum proposals.


Background

The CourseLeaf Curriculum Inventory Management system (henceforth “CIM”) is the system used to submit any type of proposal to create, revise, or inactivate courses or programs.

Launched at UConn in August 2025, the CIM system replaces the inactivated CAR and GPAR systems.

Who Can Use CIM?

By default, all active UConn faculty and staff can view course, program, and proposal information in CIM. They can also submit proposals. Faculty and staff who serve on or support the curriculum committee that review and approve proposals must be added to the appropriate roles in CIM. To be added to a role, please contact your committee chair or Curriculum Services.

Logging Into CIM

To log into CIM, navigate to uconn-next.courseleaf.com. This will bring you to the CourseLeaf dashboard, which is used for both CIM and CLSS, the CourseLeaf scheduling system:

The Dashboard includes links to the CIM proposal forms as well as links to any proposals currently in workflow. For more information about workflow, see the Workflow section of this article.

CIM Forms

There are different forms for different kinds of proposals in CIM.

Course Inventory Management

Use this form to propose new courses, revise or inactivate existing courses, or reactivate suspended courses. You can also use the form to view pending course proposals or to view the details of any active or inactive course in the Student Administration System. Program Management

Use this form to propose or revise programs, such as degree programs, minors, certifiates, etc. You can also use the form to view pending program proposals or to view the details of any active program in the catalog. For information about using the Program Management form, see Managing Program Proposals in CourseLeaf CIM.

An approved Intent Request is required when proposing a new program.

Intent Request Management

If you are planning to propose a new program, you must submit an Intent Request, which serves as a “pre-approval” step to ensure that you have university administration support before formally submitting a proposal for a new program. Miscellaneous Request Management

The Miscellaneous Request Management form can be used for certain curriculum proposals for which the course and program forms may not be used, such as adding a new topic to an existing topics course.

Workflow

All curriculum proposals in CIM go through workflows whose steps can vary based on the type of proposal. All CIM users can view proposals, but only those users in certain roles with approval privileges have the ability to act on proposals. Some users are also in FYI-only roles that allow them to be notified of new proposals that meet certain criteria.

Finding Proposals in Workflow

There are three ways to find proposals in workflow in CIM:

  1. CIM users who have been added to certain roles (such as committee members or chairs) will be notified by email when a proposal has reached their step in the workflow. The email will include a link to the proposal.

  2. Users can search for proposals by role/workflow step on the Dashboard.

  3. By default, all CIM forms display pending proposals when users log into the form. There are also ways to search for proposals either by course/program name or by workflow step. See the help articles for each form for more information about searching for proposals there. Please note, however, that users with authority to act on proposals must do so via the email link or the Dashboard.

Using the Dashboard to Review Proposals

Proposals on the Dashboard are sorted by role, which correspond to workflow steps.

To filter by role, use the Role dropdown box (#1 in Figure 1). You can select a specific role to see only proposals in that role, select “My Roles” to only view those in roles to which you have been assigned, or “Any Role” to view all proposals.

The course or program that is the subject of the proposal is located in the Page Title (#2) column. The workflow step is in the Approver (#3) column.

Users in FYI-only roles (which is the case for most non-chair curriculum committee members) won’t be able to find proposals using the “My Roles” option. Search by the role that corresponds to your committee to find proposals.

Reviewing Proposals

When opened via the Dashboard, both course and program proposals have several common elements:

1. Action Buttons

Users in approval roles have the option of editing the proposal, rolling the proposal back to any previous workflow step, or approving the proposal.

2. Export Options

Proposals can be exported as PDF or Microsoft Word documents.

3. Shred Proposal

Shredding a proposal will permanently delete this.

Shredded proposals cannot be recovered, even by CourseLeaf administrators. When a proposal is shredded, all details and attachments are permanently lost. Only use this option to delete proposals submitted in error.

4. Ecosystem

The Ecosystem is a full list of all programs, courses, and catalog pages that reference the course or program that is the subject of the proposal. This is a helpful tool that proposers can use to evaluate the potential curricular impacts of their proposal on other departments.

5. Add Comment

Comments can be added to proposals; all comments are visible at the bottom of the proposal.

6. In Workflow

The In Workflow box displays all previous (green), current (brown), and future (gray) workflow steps.

7. Approval Path

The Approval Path box indicates which users approved the proposal at each workflow step.

Bundled Proposals

Related proposals can be bundled to ensure that all the proposals are approved at the same time. For example, if a department creates a new course and adds it to major requirements, the proposals should be bundled. All proposals in the bundle will appear at the top of every proposal in the bundle. An eye icon appears next to every other proposal in the bundle. When the eye has a line through it, it means that the user has not yet viewed that proposal. Bundled proposals are approved together, and they may not be approved until the approver has viewed each proposal.
