Viewing and Granting Class Permissions (Administrators)
Administrators can view and grant Class Permissions in the Student Administration System.
Class Permissions are used for instructor consent classes, over-enrollment, and overriding requisites. This article will provide instructions on how to view existing Class Permissions or grant Class Permissions as needed. You can also use this page to customize which requirements Class Permissions will override.
Both instructors and administrative users with appropriate user security will be able to view and grant Class Permissions.
Class Permissions can override multiple requisites including the following:
Closed Class: Allows a student to over-enroll in a full course or take a reserve capacity seat.
Requisite Not Met: Allows a student who does not meet the prerequisites or who has a credit restriction due to a previously taken course to register.
Consent Required: Allows a student to enroll in a course that requires permission.
Career Restriction: Allows a student to register for a course outside of the student’s career (e.g., an undergraduate student in a graduate-level course).
Select the NavBar icon in the top right-hand corner.
Select the Menu option.
Navigate to the Class Permissions page by selecting the following menu options:
Records and Enrollment > Term Processing > Class Permissions > Class PermissionsOn the Find an Existing Value page, enter criteria to search for the class. Select Search.
In the Search Results, select the desired result to open the Class Permissions page for the course. If there was only one search result, the Class Permissions page for the course will display.
In the Class Section Data panel, locate the relevant Class Section.
Select Find to search for a particular section, or
Use the 'Show next row' arrow.
In the Class Permission Data grid, on the General Info tab, enter the ID of the student seeking permission to enroll.
If needed, select the '+' icon to add a new row and then enter the student ID.
To delete a student’s permission, select the ‘-' icon on the student’s row.
If you allow over-enrollment in the class, be sure that you do not exceed the seating capacity of the classroom.
Do not change the Expiration Date. This date should remain set to the last day to Add/Drop classes.
On the Permission tab, you can customize which requirements a Class Permission will override by selecting or deselecting the appropriate checkboxes.
optional On the Comments tab, add notes regarding a specific Class Permission.
Select Save to grant the permissions or save changes made to the page. If permissions were added, the student should now be able to enroll in the course.
Once a student uses the Class Permission to enroll in the class, the Status will update to ‘Used’ and the Permission Use Date will populate on the General Info tab. If a student uses the Class Permission but then drops the course, the Status will update to ‘Used then Dropped’.
To download a list of the Class Permissions to Microsoft Excel, select the ‘Download Class Permissions Data Table to Excel’ icon.
If preferred, use the Show All Columns option to view all three tabs at once.
