UConn Teams Room - Conference Technology

UConn conference rooms can be configured with new technology that integrates seamlessly with Microsoft Teams. These conference rooms utilize the “Teams Room”; the conference room itself joins calls as a participant, enabling conferencing without the need for BYOD or a permanent desktop computer in the room which reduces cost and complexity.

ITS has designed this package deal with an AV vendor. This system reduces complexity compared to our previous design.
Five equipment packages, which meet the university standards for quality and supportability, are offered and can be purchased from HuskyBuy.

Please coordinate with ITS to schedule installation with a vendor.

Installation fees (labor) is an additional cost, pre-negotiated with our AV vendor. There are two price points: one for a new install ($400) and one that includes the removal of existing equipment ($800). These costs are subject to adjustment for extenuating circumstances. Please reach out to ITS AVT for a quick consultation and/or demonstration of capabilities.

Departments must ensure there is a power outlet and a network outlet in the location of install. Reach out to Facilities to have an outlet installed and/or Network Infrastructure for a data jack, if one is not present.

FAQ

When creating the meeting and inviting your participants, simply invite the room as well. Each Teams Room will have its own, unique account associated with it. The room should be invited as a regular participant and, like other participants, you may see if the room is free (available).

The account name for the room is displayed on the tablet and monitor while not in a call. Invite the room to your meeting using this name.

This setup gives users an ever present device in the room. The room is always ready to join a meeting and is much less complex than a full desktop computer and a monitor juggling multiple video sources.

This system is controlled by the included touch screen tablet. Use this tablet to control the meeting and the camera. The touch screen will list the day’s meetings; tap on a meeting to Join it.

The monitor and camera will come with their own remotes as well. The monitor remote may be used to turn the monitor on and off.

The included tablet has an HDMI input; plug an HDMI cable into the tablet and into your laptop. When the tablet detects your laptop, it will automatically share your screen into the call.

The webcam acts as the “brain” of this setup while the touch screen tablet is the controller. The webcam itself is connected to Microsoft 365 and acts as a participant in meetings.
