Transitioning from Webex to Teams

ITS is conducting a survey to gather feedback on Webex usage. This page will be updated as we learn more about how the university population uses Webex.

Students, faculty, and staff may use Microsoft Teams to conduct audio calls, video calls, office hours, webinars, town halls, and more on their computers, tablets, and smartphones. Those transitioning from Webex will find that many features of Teams directly mirror features in Webex, while some go by different names.

Availability

Teams reads your Outlook calendar to find your availability and will display it on your contact icon for others to see. Your availability can also be set manually. Others will see your availability when sending you messages and before calling you.

Instant messaging, or “DM-ing”

You can use Teams to send an instant message to anyone at the university. Just like in Outlook email, Teams uses the UConn Directory as an address book.

You can send direct messages (DMs) or have group chats to collaborate with many people at once. These chats can turn into a video call at the press of a button. To learn more about messaging in teams, please visit this guide.

1 on 1 Calling

You can use Teams to conduct video calls and audio-only calls. Other participants can be added to ongoing calls. To call a user, search for their name or click on their profile picture and then click on the phone icon. To learn more about Teams meetings, please visit Meetings on Teams.

Group calls

You may use Teams to conduct impromptu and scheduled calls with up to 1,000 people. Groups calls are often started in one of two ways:

  • Clicking on the Call button in a group chat. If you have a group chat in teams, you may call that group at any time.

  • Scheduling the meeting in Outlook. Visit your Outlook calendar and create a new Event with the “Teams meeting” toggle On.

Personal Room: Office Hours and Bookings

There is not an exact analog for Webex’s “Personal Room” in Teams. There are however multiple options for creating a similar experience.

The primary difference between Webex and Teams in relation to Office Hours is the Chat feature. Recurring Teams meetings have a persistent Chat; every time the meeting is reopened, participants can see the Chat messages from the previous meetings. Whether a persistent chat thread is an issue or not, there are solutions below.

  1. Students/others can book a time with you. Outlook includes an app named Bookings that is dedicated to the “office hours” style video call. You can set your hours/days of availability (or you can set it to your working hours) and others may schedule time with you. Your Bookings page reads your Outlook calendar to find your availability and will not allow you to be booked during a time that you have a meeting.   2. You can create a recurring meeting during your Office Hours time and you may disable the Chat feature if desired. To learn more about this option, visit this guide: Schedule a Meeting with Teams

Class / Lecture / Webinars / Town Halls

People can use Teams to conduct large meetings with up to 1,000 people. With the correct settings, non-presenter/panelist participants can have their microphone and camera restricted unless specifically granted by the Host/Panelists. Polling

In Teams, polls can be conducted in Chats and during Meetings. You may choose to use the built-in pooling tool in Teams or Slido.

The built-in tool creates Polls in the Chat; they can be seen outside of the meeting. To learn more about Teams Polling, visit Polling in Microsoft Teams.

Transfer Webex Recordings to Kaltura
