Sharing OneDrive and SharePoint Files with UConn Health Users

This article explains how to correctly share files from OneDrive or SharePoint with UConn Health users to avoid access and sign-in issues.

When sharing files with UConn Health users, it is important to make sure you select the correct account. Many users have more than one UConn-related account and choosing the wrong one can prevent the recipient from opening the file.

Everyone at UConn Health has a http://UConn.edu email alias that forwards mail to their UConn Health inbox. Because of this, searching by name or selecting the first result that appears may cause the file to be shared with the http://UConn.edu account instead of the UConn Health account.

To avoid this issue:

  • Look for the account entry that includes UConn Health after the person’s name.

  • This suffix appears when searching for users in:

    • OneDrive

    • SharePoint

    • Outlook

    • Teams

Selecting the entry with UConn Health” ensures the file is shared with the correct account.

You do not need to know or type the person’s UConn Health email address if you select the entry that shows the UConn Health suffix.

In Microsoft Teams, you can confirm that it’s the correct individual by looking for the “UCH” label on their account.

What does “UCH” mean?

  • UCH identifies users who are synced from UConn Health

  • A UConn Health email address, a UCH-labeled account, and an account showing “UConn Health” all refer to the same UConn Health identity

  • These labels help you confirm you are sharing with the correct person

How to Share Files Correctly

  1. Open OneDrive or the SharePoint document library and select the file or folder.

  2. Click Share.

  3. In the To field, enter the recipient, and choose the access level (Can edit or can view):

    • For UConn Health users, paste their UConn Health email address or from the list of results, select the entry that shows “UConn Health”.

  1. Review the recipient to ensure the correct account is selected, then click Send.

For Recipients:

If you receive a file but cannot open it:

  • Make sure you are signed in with the account the file was shared with.

  • If you have trouble accessing the file, try signing out and signing back in, then open the file again.

  • If access still doesn’t work, ask the sender to confirm the file was shared with the correct “UConn Health” account.
