Share OneDrive and SharePoint files

UConn faculty, staff, and students have multiple options of sharing files with others who are, or are not, a member of the university. Sharing files through 365 is an easy and secure way to share information, collaborate on Microsoft 365 files in real time, and keep version history.

Items (files and folders) in OneDrive and SharePoint can be shared from your computer, web browser, and Microsoft365 apps including Outlook. Sharing using these methods maintains file encryption throughout the life of the item.

Sharing the item

These steps can be followed on all computers for OneDrive and SharePoint.

  1. Find the item (file or folder) you would like to share.

    1. If you are in Windows, open File Explorer and navigate to the item.

    2. If you are in macOS, open Finder and navigate to the item.

    3. If you are in a web browser, visit s.uconn.edu/onedrive or s.uconn.edu/sharepoint and sign in with your UConn email and NetID password. Navigate to the item you wish to share.

  2. Right-click on the file and then click Share.

    1. In the web browser, the Share button is visible right away.

    2. In Windows and macOS, when you right-click on a file, you may need to first click on the “OneDrive” menu item and then click on “Share”.

  3. The Share popup window will appear.

  4. Type in the email address(es) of your recipient(s).
    These recipients do not need to be a UConn community member. To learn more about the external user experience, visit Share Microsoft 365 files with External Users.

  5. Click on the pencil icon to change the recipient’s privilege.

    1. If you want them to only have view access (they cannot edit the file(s), choose Can view

    2. If you want them to be able to edit the file(s), choose Can edit

    3. Note: “Can’t Download” should not be thought of as a security precaution. For example, if you share a Word document with someone and give them Can’t Download privilege, they can simply highlight the text in the document and copy-paste the text into their own document.

  6. You may type a message in the Share window for your recipient(s).

  7. Click Send to send an email notification to your recipient(s).
