How do I access the Midterm Grades Dashboard?

  1. Log into Microsoft 365.

  2. Select Apps from the navigation pane.

  3. Search for the Power BI app

    1. You can search using the Explore by category option:

    b. or, you can access the Search bar and type in Power BI:

  4. Select the Power BI app.

  5. Select My Apps.

  6. You should see a Midterm Grades entry under My Apps.

  7. Select the entry, and you will be presented with the Midterm Grades Dashboard.

Welcome to the Midterm Grades dashboard! You will use this dashboard to retrieve your cohort of students for midterm grade support.

The Midterm Grades Dashboard

The entire dashboard is interactive allowing you to select various types of filter options. By applying these filters, you can further refine your population.

 Key Performance Indicators (KPIs) (aka visuals)

In a given KPI (or visual), you can select one or multiple (using the Ctrl key) values to apply filters. For example, if you want to only look at students with a math-related Academic Plan, navigate to the Students by Plan KPI (visual) and using your Ctrl key, select all the math-related Academic Plan values.

  • Students by Year

  • Students by Plan

  • Athlete - Sport

  • Students by Academic Standing

  • Students by Attributes

    • RHIT: Student who transferred internally from RHAG into the UGRD Career

    • RHTR: Student who transferred into RHAG Career from another institution

    • UGFR: Undergraduate First Year students at UConn effective based on Attribute Value

    • UGTR: Student who transferred into the UGRD Career from another institution

When does the Midterm Grading window open?

The Midterm Grading window opens Monday, 2/19/24, and remains open until Friday, 3/8/24.

How long will the Midterm Grades dashboard be available?

The Midterm Grade dashboard will remain available until sometime during Week 11 of the Spring term.

Are the grades I'm seeing live and up-to-the-minute?

No, this is not live data -- there are three static grade retrievals that occur on 2/26, 3/4, and 3/11.

Is there any default behavior on the Midterm Grades dashboard?

Yes, there are two default behaviors on the dashboard:

  1. The Grades filter will always default to At Risk grades for both Undergraduate careers (grade of C and below) and Graduate careers (grade of C+ and below). You can select/de-select At Risk categories and/or individual grades.

    At Risk category is defaulted as selected for both undergraduate- and graduate-level careers.
  2. The Midterm Grades Output grid will always include the following fields in the grid – you will not be able to de-select these values:

    • EmplID

    • NetID

    • Student Name

    • Student’s (home) Campus

    • Academic Career

    • Academic Program

    • Academic Plan Description

    • Subject

    • Catalog Number

    • Midterm Grade

    • (Last calculated) Academic Standing

How can I make the dashboard bigger?

  1. Enter Full Screen mode (F11 key in Windows, Fn + on a Mac)

  2. Use the zoom located in the lower right of the dashboard.

How do I export the Midterm Grades Output results?

  1. Select the Midterm Grades Output title bar. You should see an Ellipsis (three dots) icon appear.

  2. Select the Ellipsis icon.

  3. Select the Export data option.

  4. Choose your desired output, and select Export.

How come I see “Not Set” in some of the dashboard categories as well as in the Midterm Grades Output grid? What does this represent?

When you see “Not Set”, it means that there is no value for the student for that particular category.

For example, students studying at the graduate level do not have an Academic Level; as a result, you will see “Not Set” for those students in the Students by Year KPI (visual).

Another example is that not all students have a Student Attribute; as a result, if you elected to include Student Attribute on the Midterm Grades Output grid, you will see “Not Set” for those students.

How do I refresh the Midterm Grades dashboard each week?

Each week, there will be a new retrieval of grades that were added to the Midterm Grades Roster. To ensure that you have access to the latest set of grades:

  1. Hit the F5 key (Windows) or Command + R keys (Mac) to retrieve the latest version of the dashboard dataset.

  2. Select the Refresh visuals button to update all of the KPIs (visuals) with the latest data.
