Through ITS, faculty, staff and students can use Webex as a telephone conference bridge. This feature enables a host to run a meeting, and guests to join a meeting, without a computer. A computer is still required to schedule the Meeting and to share the Meeting information.

This process uses telephone lines instead of the Cisco Webex Meetings smartphone app.

The terms "Webex Meeting" and "Phone Conference" refer to the same concept. The use of one of these names depends on personal choice reflecting how the majority of users are joining.

Therefore, phone conferences are scheduled in the same manor as Meetings. Any participant can join either through computer (internet) or phone (phone line), and they may switch back and forth during the Meeting.

Beginning the Phone Conference in Your Personal Room

To begin the phone conference in your Personal Room,

  1. Log into the Webex website. To do so, 

    1. Navigate to the UConn WebEx Web Conferencing page.
    2. Click the green UConn Webex Login button.

    3. Click the blue Sign In button in the top-right corner of the window, as shown below.

    4. Enter your UConn NetID to sign in. The Webex homepage will then appear. 
  2. Click on the More ways to join option from the Webex home page. Doing so will bring up an information box that displays the phone number, access code, and host PIN number required for the telephone connection.

  3. Share the Access Code (sometimes referred to as Meeting Number) and phone number with those who will be calling in. Do not share the Host Pin.
  4.  To begin the Meeting, 
    1. Click on the green Start a Meeting button to begin your Personal Room meeting from your PC and open it to callers,
    2. If you would like to use a phone, click on the audio options. By default, the phone is set to the Use computer audio option before you change it.
      1. Click on that button to select the Call in option.
      2. If you would like to use your computer's microphone and speakers, select the Use computer audio option.
  5. To begin hosting the meeting by phone, call 1-415-655-0002.
    1. Follow the instructions to enter your Access Code/Meeting Number
    2. Follow the instructions to enter your Host PIN.
    3. The meeting will begin locked. Dial *5 to unlock your Personal Room to allow others to join.
    4. Dial *5 again to Lock the Room.
  6. To have others join your meeting, share the Access Code/Meeting Number found in the More ways to join pop-up menu (explained above).

You and your attendees will always call the same number; it is the Meeting Number/Access Code that will direct you to the correct meeting.

Setting Up a Scheduled Phone Conference

To set up a scheduled phone conference,

  1. Schedule the conference as you would any other Meeting.

  2. When you are done scheduling, you will be directed to the meeting information page. The section at the bottom contains important information.

    • Every meeting in Webex will have the same number to dial; it is the Access Code/Meeting Number that directs your call to the correct meeting.
    • You may share just the information circled, or you may use the Share button above to copy-and-paste all the information into an email or other communication.

  3. To start this meeting, click on the Start Meeting button when you are ready.

Joining a Meeting through a Phone Line

If you are the Host, you should review the Setting Up and Beginning the Phone Conference in Your Personal Room section above.

If you are not the Host, follow the directions below to join the meeting through a phone line.

  1. Dial +1-415-655-002.
  2. Enter the Access Code/Meeting Number. 
    1. If you already know the Access Code/Meeting Number of the Meeting,
      1. Dial +1-415-655-002.
      2. Wait for the voice to speak to you.
      3. When prompted, enter the Access Code/Meeting Number.
      4. Press the # key. 

        Example:

        123 456 789#

    2. If you do not know the Access Code/Meeting Number but have an invite link:
      1. Open the email or other location where you received the Join Link.
      2. Click on the join link.
      3. Cancel the download if it appears. 
      4. Click on the information icon at the top of the screen following the Meeting name to open the Meeting Information. In that pop-up, you will see the Access Code/Meeting Number.
    3. If you do not know the Access Code/Meeting Number and do not have an invitation, Ask the Host to share the Access Code/Meeting Number with you. 

      The host can review the article, Sharing Webex Personal Room Information to find their code. 
  3. After entering the Access Code/Meeting Number, you will be asked to enter your Attendee ID. You may bypass this step by pressing the pound symbol on your keypad (#).
  4. If you have already joined the Meeting with a computer, you can find your Attendee ID by clicking on ⓘ Meeting Information in the top-left corner.
  5. If you would like to switch to using your phone to transmit and receive audio only,
    1. Take note of your Attendee ID.
    2. Enter your Attendee ID when calling in. Doing so will allow Webex to associate your phone number with your UConn Webex account for this meeting. Entering your Attendee ID will cause your name to appear in the Participants List with a phone icon next it, rather than just your phone number appearing in the list.
