Students, faculty, and staff can access transcripts for Webex recordings.

Overview

  • All Webex recordings will have an automatic transcript generated for them.

  • A Webex recording will only begin to process once the Meeting has concluded. Once the recording has finished processing and is viewable, the transcript generation process will begin. You should expect the transcript generation period be as long as twice the duration of the video. This means that if you have an hour-long recording, you should expect the transcript to finish generating 2 hours after the recording is viewable online.

Viewing and Hiding the Transcript

Once the transcript is viewable, it will appear attached to your recording. If you would like to hide the transcript, follow the procedure below.

If you would like to hide your transcript,

  1. Click on the pencil icon that sits after the recording's name.

  2. Uncheck the checkbox for Transcript.

  3. Click Save. 

Editing the Transcript

Users may edit the transcript on the same screen from which they view it. To do so,

  1. View your recording at webex.uconn.edu

  2. Hover your cursor over the text block that you would like to edit. Click on the pencil icon that sits at the end of the text.

  3. Type in your edits.

  4. Click Save.

Downloading the Transcript

The transcript may be downloaded along with the Recording as a separate file. The transcript will download as a VTT (.vtt) file. If you wish to upload this transcript into another program that supports VTT files, you are all set to do so. If your program does not support VTT files, you can easily convert the transcript to a TXT (.txt) or DOC (.doc) file using Notepad and Microsoft Word, respectively. 

Note

If you would like to upload the transcript into Kaltura, you must remove the time stamps from each line. Kaltura has an auto-alignment feature that negates the need for the timestamps. Consequently, the time stamps will prevent the auto-alignment form working correctly. Continue below to learn how to edit the downloaded transcript.

Converting Your Transcript to a TXT File for Notepad

To convert your transcript to a TXT file, 

  1. Open Notepad. To do so,

    1. Open the Windows Start Menu. 

    2. Type Notepad into the search box that appears.

    3. Select Notepad from the search results. 

  2.  Click on File

  3. Click on Open

  4. Select All Files. 

  5. Browse through your files find your downloaded transcript.

  6. Once the file is open, you can remove the timestamps manually, if desired.

    Tip

    Note: The Audio Visual Technology Support (AVT) team has a computer script that autonomously removes all timestamps from the file. If you have many lines of text and find that manually removing Kaltura timestamps would not be feasible, contact AVT

  7. When the file is ready to be converted, click on File.

  8. Select Save As

  9. At the end of the filename, type .txt (including the period).

  10. Verify that the Save as type: is Text Document.

The new text file is ready to be uploaded/used with other programs, like Kaltura.

To convert your transcript to a DOCX file, 

  1. Open Microsoft Word.

  2. Click on Open.

  3. Select Browse.

  4. Navigate to your downloaded transcript.

  5. Open your downloaded transcript. It will be listed as a VTT file.

  6. Once the file is open, you can remove the timestamps manually, if desired.
